About the CompanyAn organization is seeking an experienced Conference Center Specialist to support enterprise meeting and event operations within a corporate technology services environment. This role serves as the primary point of contact for conference room technology support, executive meeting coordination, and AV event execution. The position requires strong technical troubleshooting expertise, exceptional client service skills, and the ability to support high-profile meetings, including executive and board-level events.About the RoleThis role involves supporting enterprise meeting and event operations, focusing on conference room technology, executive meeting coordination, and AV event execution.ResponsibilitiesConference Room & Event Support Provide operational support for conference room technologies across a corporate office environment.Coordinate and execute technology support for meetings, conference calls, executive presentations, webcasts, and special events.Conduct proactive room inspections, testing, and pre-meeting system checks to ensure readiness for scheduled events.Support dry runs and live event execution while resolving technical issues in real time.Audio Visual & Technology Management Troubleshoot and resolve issues involving audio, video, networking, conferencing hardware, and integrated room control systems.Perform root cause analysis for AV equipment failures and coordinate remediation efforts.Support integrated conference room technologies including lighting controls, environmental systems, scheduling platforms, and sound masking systems.Maintain and support enterprise Crestron Fusion environments and related AV management tools.Configure and adjust AV settings including DSP levels, microphones, and conferencing equipment.Vendor & Inventory Coordination Manage relationships with external AV vendors and service providers to ensure timely issue resolution and maintenance delivery.Track and maintain inventory of conference room equipment including microphones, adapters, presentation tools, and spare hardware.Maintain detailed documentation related to maintenance activities, equipment updates, incident tracking, and service records.Client & Operational Support Collaborate with internal stakeholders to gather meeting requirements and coordinate event support logistics.Maintain meeting and event tracking records for all supported activities requiring technical assistance.Deliver responsive, professional customer support while prioritizing urgent requests and escalations appropriately.Foster effective communication and collaboration with technical teams, vendors, and business stakeholders. QualificationsBachelor’s degree in Computer Science, Information Technology, Business Computing, or a related discipline; equivalent practical experience and certifications may also be considered.Minimum 5 years of experience in AV support, conference center operations, or enterprise event technology support.Strong verbal and written communication skills with the ability to interact effectively with executive stakeholders.Demonstrated ability to manage multiple priorities while maintaining strong organizational and time management skills.Experience supporting enterprise conferencing and collaboration technologies.Working knowledge of IT service management concepts and ITIL methodologies.Experience overseeing vendor performance and third-party support activities.Strong troubleshooting capabilities involving AV hardware, networking, display technologies, and conferencing systems.Familiarity with Cisco AV Toolbox and enterprise conferencing infrastructure. Required SkillsMinimum of 5 years of experience supporting AV technologies and event operations within a conference center or enterprise corporate environment.Proven experience supporting executive meetings, conferences, webcasts, and board-level events.Strong troubleshooting and diagnostic skills related to conference room AV systems and integrated technologies.Hands-on experience with enterprise AV platforms including Crestron, Cisco, Polycom, BIAMP, and Microsoft Teams.Ability to provide high-touch, customer-focused support in fast-paced environments.Experience coordinating with third-party vendors and support providers for issue resolution and maintenance activities.Familiarity with conferencing and collaboration platforms including WebEx, Zoom, Microsoft Teams Live, Global Meet, and Amazon Chime.Ability to read and interpret AV system diagrams and technical documentation.Willingness to travel periodically to support additional office locations as needed.Capability to perform light physical tasks including lifting equipment, working under conference tables/desks, and using ladders or basic power tools. Preferred SkillsExperience supporting POE lighting systems and integrated conference room environmental controls.Familiarity with sound masking technologies such as Lencore or equivalent platforms.Prior experience supporting enterprise-scale AV environments across multiple office locations.Knowledge of conference scheduling technologies and room interface systems.Experience working in highly visible executive support or corporate boardroom environments.
