POSITION: ADMISSION CLERKDEPARTMENT: HOSPITAL ADMISSIONSFLSA STATUS: NON-EXEMPTSCHEDULE: DAY SHIFT, 12 HOUR SHIFTS, 7 ON / 7 OFFNIGHT SHIFT, 12 HOUR SHIFTS, 7 ON / 7 OFFJOB SUMMARY:The Hospital Admissions Clerk is responsible for registering patients, collecting and verifying personal and insurance information, and ensuring accurate and efficient patient registration and admission into the hospital's electronic health record system. This role serves as a key point of contact for patients, visitors, and medical staff, helping to ensure smooth administrative and clerical operations in the admissions department. ESSENTIAL JOB FUNCTIONS: Greet and assist patients and visitors in a courteous and professional mannerRegister new patients and update existing patient records in the hospital's electronic health record (EHR) systemAssist with interviewing patients or their representatives to obtain required personal, medical and insurance informationPromptly notify emergency personnel or nursing staff of emergent or urgent patient cases requiring immediate attentionReport patients exhibiting signs or symptoms of infectious or communicable diseases to nursing or clinical staff in accordance with hospital infection control policiesVerify and enter patient demographics, insurance information, and medical details accuratelyCollect and process required forms, signatures, and consent documentsPrepare patient identification materials such as wrist bands, identification labels, and recordsExplain hospital policies, admission procedures, and patient rightsCollect, assemble, and ensure accuracy of patient admission documents and forward to appropriate departmentCollect co-payments, deductibles, and other required fees; issue receipts as neededSchedule patient admissions and coordinate with nursing, emergency, and clinical departments when applicableMaintain confidentiality and comply with HIPAA and hospital privacy standardsAnswer phones, respond to inquiries, and direct calls to appropriate departments and personnel.Maintain a clean and organized workstation; sanitize equipment and surfaces as requiredMonitor and replenish office and patient admission supplies, as neededReport any unsafe conditions, equipment malfunctions, or workplace hazards to the appropriate supervisor and departmentAssist with training new admission clerks as directedAttend and participate in workshops, seminars, etc., as approvedPromptly report disturbances, disruptive behavior, or violent situations to the Emergency Department Supervisor, Admission Supervisor, and Security, when applicable, following hospital safety protocolsNotify the Admission Supervisor of any issues, concerns, unusual occurrences, or delays affecting patient flow, safety, or service qualityAll other duties as assignedQUALIFICATIONS: Education and Training: High school diploma or equivalent is preferred Work Experience: Previous experience in a hospital, medical office, or customer service setting is preferred.Knowledge, Skills, and Abilities Required: Strong written and verbal communication skillsStrong interpersonal skillsProfessional and compassionate patient interactionExcellent attention to detail and accuracyData entry and record management accuracyAbility to read and write effectivelyAbility to multitask when completing several tasks at onceStrong organizational skillsAbility to work in a fast-paced environment while managing and prioritizing multiple tasks at the same timeAbility to handle confidential information professionally and in accordance with HIPAAProficient with hospital information systems, EHR software, and Microsoft OfficePhysical Requirements: Prolonged periods of remaining in a stationary position at a desk and working on a computerFrequent use of hands, wrists, and fingers to operate a computer keyboard, mouse, telephone, and other office equipmentOccasionally move about the registration area and facility campus to access file cabinets, office machinery, patient care areas, other departments, etc.Frequently position self, such as bending, stooping, reaching, kneeling, or twisting to maintain files, retrieve files, access/move office supplies/equipment, assist patients, etc.Ability to communicate information accurately so others will understandAbility to hear and respond to patients, telephone calls, alarms, and normal office conversationsVisual acuity sufficient to read printed documents, computer screens, and handwritten materialsFrequently move, lift, push, or pull boxes, equipment, files, wheel chairs, carts, etc. weighing up to 25 pounds across the office for various needs.Ability to push wheelchairs and assist patients in a safe and controlled mannerOSHA EXPOSURE CATEGORY: AHas exposure to blood borne pathogensEqual Opportunity Statement:We are an equal opportunity employer and do not discriminate against any employee or applicant for employment based on race, color, religion, national origin, age, gender, sex, disability status, genetics, protected veteran status, sexual orientation, gender identity, or expression or any other characteristic protected by federal, state or local laws.
