We are seeking a Document Control Administrator II to support the Maintenance Department at its Rodeo Refinery. This strategic role balances document control practices with comprehensive Computerized Maintenance Management System (CMMS) administration. The successful candidate will ensure data integrity, maintain compliance, and optimize maintenance workflows by managing documentation processes and executing critical data management functions within SAP.Employment DetailsLocation: Rodeo RefineryDuration: 12-month contract assignment (with potential for extension)Schedule: Full-time, 40 hours per week (Monday–Friday, 7:00 AM – 3:30 PM)Target Start Date: August 3, 2026Core ResponsibilitiesDocument Control & Workflow Management: Manage full-lifecycle maintenance documentation processes, including creation, rigorous review, formal approval, and site-wide distribution via established systems (e.g., OpenText Content Suite/Livelink).SAP & CMMS Administration: Execute precise data entry and maintain master data integrity within SAP, managing equipment hierarchies, characteristics, and Bills of Materials (BOMs).System Approvals: Process SAP Fiori approval requests for equipment modifications, functional locations, and structural BOM updates.Technical Asset Documentation: Compile detailed repair folders and log historical maintenance work performed on critical refinery assets, including rotating equipment, static equipment, instrumentation, and electrical components.Analytical Reporting: Analyze technical repair documentation to identify root causes, assign appropriate problem/cause codes, and generate actionable SAP reports and notification summaries.Maintenance Planning Support: Collaborate closely with the Maintenance Planner and Scheduler to prepare daily documentation packages and facilitate the on-time execution of Preventive Maintenance (PM) schedules.Materials & Compliance Tracking: Maintain precise spare parts lists, track procurement milestones, and support strict regulatory compliance and audit readiness through Management of Change (MOC) documentation tracking.Process Optimization: Formulate and implement continuous improvement initiatives for existing documentation workflows to enhance operational efficiency.Required QualificationsAuthorization: Legally authorized to work in the United States.Education: High school diploma or GED equivalent.Experience: Minimum of 3 years of progressive experience in formal document control, maintenance support, or CMMS administration.Technical Systems: Demonstrated proficiency with SAP (or equivalent tier-one ERP system) and the Microsoft Office Suite (specifically Excel and Word).Credentials: Must possess a valid Transportation Worker Identification Credential (TWIC) and a valid Driver’s License.Site Compliance: Ability to successfully pass comprehensive background checks, drug screening protocols, and complete site-specific safety training via the Houston Area Safety Council (HASC).Preferred QualificationsIndustry Experience: Prior experience operating within a refinery, petrochemical facility, or heavy industrial manufacturing environment.Technical Documentation Expertise: Advanced experience constructing technical repair folders and managing complex industrial equipment records.Advanced SAP Skills: Strong proficiency utilizing SAP reporting tools, executing data analytics, and conducting master data management functions.Operational Familiarity: Deep understanding of structured maintenance workflows, asset reliability tracking, and industry standard safety protocols.
