Office Specialist

Provide administrative oversight of the office operations such as but not limited to answering incoming calls, fax correspondence etc.… Maintain and update prior authorizations, PMPs, superbills, credentialing information. Serve as the point of contact for all outpatient center business related issues, including oversight for assigned locations. Maintain and/or monitor fluidity of patient flow at check in and check out and adjust accordingly. Provide management oversight for the registration and scheduling process to facilitate the collection of accurate patient demographic and insurance information. Assist in accuracy of information for directing all billing and collection procedures; inclusive of establishing quality control techniques that will ensure proper insurance billing codes are applied and accurate reporting is submitted. Support and submit credentialing of providers for billing. Submitting billing documents to billing department for accuracy. Provide support to clinical, outreach, and case management staff as needed Send monthly invoices to clients Communicate with Medical and Non-Medical Providers and staff regarding clinic needs and issues in an expeditious manner. Ensure appropriate training and adherence to all federal, state medical coding and billing regulations. Maintain appropriate and timely inventories of office supplies, to include Pharmacy Supplies and inventory as applicable. Ensure Medical Center’s policies, procedures, and protocols are compliant with Grace Behavioral Health Solutions goals and follow accepted medical practice standards. Support the Agency’s quality management protocols; participate in Quality assurance projects and activities. Perform additional duties as assigned by the management. Office Staff Qualifications / Skills: Supply management Managing processes Developing standards Promoting process improvement Inventory control Reporting skills Education, Experience, and Licensing Requirements Two to three years’ experience in office management and/or human resources. Accounting experience preferred but not required. Proven experience as an Office Manager, Front Office Manager or Administrative Assistant Knowledge of Office Administrator responsibilities, systems and procedures Knowledge of utilizing scheduling system Knowledge of EHR systems Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. fax machines and printers) Familiarity with email scheduling tools, like Outlook and google calendar Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements High school diploma, GED, or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus Job Type: Full-time Pay: $13.50 - $17.00 per hour Expected hours: 30 – 40 per week Benefits: Paid time off Medical Specialty: Psychiatry Schedule: Monday to Friday People with a criminal record are encouraged to apply Experience: Process improvement: 1 year (Preferred) Microsoft Outlook: 1 year (Required) EHR systems: 1 year (Preferred) Inventory control: 1 year (Preferred) Management: 1 year (Required) Patient interaction: 2 years (Required) Language: English (Required) License/Certification: Driver's License (Preferred) Ability to Commute: Shreveport, LA 71105 (Required) Work Location: In person
