Position Summary:
The Legal Support Floater plays an essential role in ensuring that our offices run smoothly. They must work in tandem with the other members of legal support, provide backup to our Imaging department, as well as provide backup for the receptionist when necessary. Time management, prioritizing, accuracy, efficiency, and organization are just a few important skills someone in this position will need to possess.

This position reports to the Administrative Services Manager.
Essential Job Functions:
Assist with interoffice mail distribution.
Check/straighten conference rooms.
Inputting faxes.
Log in package deliveries from UPS, Fedex, etc., and distribute to recipients.
Stock copy centers, keep clean and organized.
Ensure that supplies are well stocked, organized, and easily accessible.
Copy/scan projects prepare trial binders, follow deadlines, pay attention to detail, organize materials and prepare according to instructions doublecheck all work to ensure accuracy.
Assist with preparing closing binders scanning and linking documents and creating physical binders and/or flash drives for clients and on GG-net for Attorneys.
Courthouse runs taking and filing documents in various courts (occasionally out of town).
Kitchens keeping fridges stocked and counters (or tables if applicable) clean and snacks full.
Picking up lunches and assisting in set-up/clean-up of lunch meetings if needed.
Keeping up with recycling in office sorting & dropping off at MET.
Mail outs making copies, stuffing & labeling envelopes, metering mail, and delivering to the Post Office/drop boxes or UPS/Fedex Locations.
Assisting in moving furniture or office moves.
Handling/reconciling petty cash and receipts periodically.
Make hand or driving deliveries/pick-ups to and from clients upon request (occasionally out of town).
Performs minor maintenance on postage machines, etc. and schedules repairs as needed.
Performs closing duties every night (cleaning kitchens, coffee pots, counters/tables, loading & running dishwashers, completing all faxes, taking all UPS/Fedex packages down to drop boxes, final mail run to Post Office, etc.).
Providing back-up for receptionist as needed.
Receptionist Duties:
Make coffee and maintain full coffee pots throughout the day.
Ensure that conference rooms are stocked, clean, and ready for meetings throughout the day (and set up any additional things requested from the reservation chart).
Order and set up lunches as needed or upon request (occasionally there will be last minute requests) from restaurants within the building or on DoorDash.
Report any building maintenance issues to the building by using the Maintenance Portal.
Print checks as requested.
Log in any hand deliveries that come to the reception desk and alert the appropriate Legal Assistant, who should come pick up the delivery.
Alert Records of any incoming abstracts.
Keep snacks/drinks in the client kitchen & conference rooms stocked.
Perform closing duties every night (cleaning kitchens, coffee pots, counters, loading & running dishwashers, filling all fridges, clean and arranging all conference rooms, etc.).
Required Skills:
Proficient in Outlook, Microsoft Office Word and Excel.
Presents a positive, 'can-do' attitude, while working in a fast-paced working environment.
Able to work independently but also collaboratively/cooperatively with others in a team-oriented environment.
Must have meticulous attention to fine details with great emphasis on accuracy and quality.
Must be able to lift and move furniture/boxes.
Must have a valid drivers license.

Effectively interact and communicate with attorneys, legal assistants and clients.
Prioritize and handle multiple rush requests to meet deadlines.
Excellent communication and interpersonal skills. Ability to present information clearly and concisely so recipients understand the information or instructions. Asks appropriate questions to clearly understand requests.
Willingly assist as requested, and actively offer assistance when able.
Professional telephone etiquette.
Acknowledge and reply to facility, copy & scan, delivery and courthouse or telephone requests promptly.
Working Environment:
Sometimes very fast-paced environment with pressured deadlines.
Next minute slow paced and needs to be self-motivated.
Interior office with low to moderate sound levels.
Physical Demands:
While performing the duties of this job, the employee will be required to read from hard-copy paper and computer screen, sit, talk, hear, use wrist, hands and fingers repetitively to type, write, operate computer and other office equipment/machinery, handle and grasp paper and other office objects. Additionally, the person in this position will be moving about our multi-floor office to deliver packages, mail and interoffice deliveries, use office machinery, etc., sometimes moving file cabinets, desks etc., which will require bending and lifting of items more than 25 lbs.
