Traffic and Logistics Coordinator

The Traffic and Logistics Coordinator coordinates daily outbound shipments for 33 U.S. sales branches, selects cost-effective carriers, and ensures timely delivery of customer orders. Manages schedules, negotiates shipping options, quotes LTL rates, approves freight invoices, and connects branches with the Dallas, TX distribution center. Optimizes truckload utilization, monitors shipment performance, maintains shipping records, and drives process improvements to reduce costs and enhance service quality.Key ResponsibilitiesExecute Materials Requirement Planning (MRP) using Microsoft Access and generate fulfillment reports (Suggested Order Quantities) for each branch via Excel macros.Schedule and coordinate all outbound shipments from distribution centers or branch sites, ensuring customer install dates are met.Optimize truck and trailer utilization by consolidating loads, managing dock schedules, and minimizing empty milesCoordinate cost-effective freight solutions for full and partial shipments using Loadsmart software and LTL tools to secure optimal shipping rates.Manage communication with brokers, carriers, drivers, warehouse staff, and branch locations to ensure timely pickups, deliveries, and smooth logistics between branches and the Dallas warehouse.Review, verify, and authorize carrier invoices, freight bills, detention, and accessorial charges for payment accuracy.Support rate negotiation and spot quote activities to control freight costs.Track shipments, proactively resolve delivery delays or exceptions, and maintain accurate shipping records, carrier data, and delivery documentation.Monitor and report on transportation KPIs, including on-time delivery, lead time, trailer utilization, and freight cost per load.Collaborate with logistics and warehouse teams to meet customer delivery requirements and ensure compliance with DOT, FMCSA, and company safety policies.Assist in identifying and implementing process improvements to reduce costs and improve service.Perform additional duties as assigned.Qualifications Associate or Bachelor’s degree in Logistics, Supply Chain, Business, or related field (preferred).2–4 years of experience in transportation, logistics, or dispatch coordination.Knowledge of truckload (TL), Less than Turckload (LTL), and outbound shipping operations.Strong organizational and communication skills with attention to detail.Experience using Transportation Management Systems (TMS) or ERP shipping modules.Basic understanding of DOT and FMCSA regulations.Proficiency in Excel (creating sheets, formatting, sorting) and reporting tools for shipment and cost tracking.Need to have some type of Logistic experience to:Create Truckload / partial load quotes in Loadsmart TMSRouting trucks are based on transit from origin to destination or destinations by most cost-effective shipping route.Ability to figure the space on a trailer each load would take upEnter load information into the excel Truckload spreadsheet.Follow up with the brokers and our branches with delivery questions or issues.Communicate back to brokers and our branches within a 24-hour or less window with any inquiries. Also do daily checks with the brokers for shipping loads on that day to make sure they are covered and that they are going to ship.Process means approving the Truckload / partial freight invoices from the loads and emailing them to the accounting department for payment.Keep up on metrics created for the DFW location.Must be able to multitaskKey CompetenciesLoad planning and scheduling efficiencyCost awareness and freight optimizationStrong communication and problem-solvingTime management in a fast-paced environmentTeam collaboration and customer focus
