About The RoleJoin a collaborative two-person executive support team partnering with senior leadership at a high-profile, Midtown New York City-based financial services firm. In this role, you will provide comprehensive administrative and operational support to a five-person executive team—Chairman & CEO, President, Chief Operating Officer—and key senior research partners, including the Chief Economist and Chief Markets Strategist. This position requires a highly organized, proactive, and experienced Executive Assistant who can operate as a trusted partner, maintain discretion, and ensure seamless day-to-day operations across a fast-paced, high-visibility environment.The Impact You'll MakeManage complex executive calendars, ensuring accuracy and alignment across internal and external commitmentsCoordinate domestic and international travel end-to-end, including itineraries, accommodations, ground transportation, materials, and last-minute changesOversee logistics for client events, executive meetings, offsites, dinners, and corporate engagementsSupport coordination of media appearances (e.g., CNBC, Fox, Bloomberg) for both on-site and virtual segmentsAct as a gatekeeper for senior leadership—prioritizing requests, managing access, and safeguarding executive timeHandle high-volume communications, including screening and routing calls and responding with professionalism and informed judgmentExercise discretion in managing routine matters independently to maximize executive efficiencyPrepare meeting materials, draft agendas, and ensure all pre-read and documentation are complete and accurateCoordinate meeting logistics including conference rooms, technology setup, and catering arrangementsReview documents and forms for accuracy, completeness, and formattingUpdate, compile, and distribute reports to internal and external stakeholdersMaintain confidential records and files related to corporate and executive operationsProvide general office support, including vendor coordination, office supplies, and invoice approvalsOffer flexibility to support occasional evening or weekend needs, including personal or administrative tasksWhat You'll Bring To BairdAssociate’s degree required; Bachelor’s degree preferred5–8 years of administrative or executive support experience, preferably in financial services or a fast-paced corporate environmentAdvanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)Experience working with Salesforce CRM or similar systemsExceptional organizational skills with strong attention to detail and ability to prioritize effectivelyStrong communication skills, both written and verbal, with a professional and polished demeanorDemonstrated ability to handle confidential information with discretion and sound judgmentProven ability to manage multiple priorities in a high-pressure environmentProactive mindset with strong problem-solving skills and a commitment to excellenceCompensation And Benefits$100,000 - $140,000 annual base salaryBonus potential Compensation and bonus are commensurate with experience, performance, and/or firm profitabilityCheck out our Total Rewards at Baird, which is a summary of our benefits and compensationBaird is committed to diversity and provides employment opportunities to all employees and applicants for employment without regard to race, color, religion, sex, pregnancy, citizenship, national origin, age, disability, military service, veteran status, sexual orientation, gender identity or expression, genetic information, or any other status protected by law.
