The primary function of the Billing Services Representative is to prepare and edit prebills and generate client invoices for assigned attorneys.This position is available as a hybrid work schedule.Responsibilities:Coordinate and maintain billing portfolios for assigned billing attorneysReview time entries to ensure proper matter coding, billing rates and compliance with attorney/client/e-billing guidelinesFollow up with attorneys and/or secretaries to ensure timely return of prebillsProcess all prebill revisions, including edit, transfer and write-off of time, and ensure timely and accurate preparation of client invoicesApplication of internal policies and procedures related to billing adjustments and other special billing requirementsDistribute invoices to clients via mail, email or e-billing, as requiredMonthly review and follow-up on WIP aging to ensure that matters on hold are clearly noted and are billed as soon as possible once completedMonthly review of Unapplied and Retainer accounts and timely application of same to client invoicesMaintain record of special billing instructions for attorneys and clientsRespond to attorney and client billing requests and inquiriesSpecial projects as requiredRequirements:Bachelor's degree or equivalent experience5+ years law firm billing experienceProficient in Outlook, Excel and WordExperience and proficiency in Aderant or other legal billing softwareUnderstanding of electronic billing a plusStrong analytical skills; ability to assess information, anticipate issues and outcomes and to make effective decisionsStrong written and verbal communication skills; ability to exchange information and to present ideas, report facts and other information clearly and conciselyAbility to organize time, prioritize workload effectively, and work independentlyTeam playerCustomer service focusedThe primary location for this job posting is in Palo Alto, but other locations may be listed. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate's qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: Palo Alto, San Francisco: $29.83 - $40.36 per hour.The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance.
