This is not an entry-level scheduling role, we need someone who can run recruiting programs independently, anticipate problems before they become bottlenecks, and bring process rigor to a fast-moving team with minimal oversight. You'll be the person hiring managers and recruiters count on to keep things moving, spot what's breaking in the pipeline, and fix it.Key ResponsibilitiesProgram & Scheduling ManagementOwn end-to-end interview scheduling logistics across multiple roles, panels, and time zones, proactively resolving conflicts rather than escalating themDesign and refine scheduling workflows to reduce turnaround time and improve interviewer/candidate experienceManage competing priorities across multiple open requisitions simultaneouslyReporting & AnalyticsBuild and maintain recruiting dashboards and reporting (time-to-fill, funnel conversion, source effectiveness, offer acceptance) for leadership visibilityProactively identify trends, bottlenecks, and risks in the pipeline and recommend process improvements — not just report the numbersPartner with recruiting leadership on headcount and hiring plan trackingATS OwnershipServe as the subject-matter expert and system owner for the ATS, including workflow configuration, data integrity audits, and troubleshootingTrain and support recruiters and hiring managers on ATS best practicesIdentify opportunities to automate or streamline ATS-driven processesCandidate Travel & ExperienceIndependently manage complex travel logistics for candidate on-sites, including budget tracking and vendor coordinationOwn the candidate experience end-to-end for on-site interviews, resolving issues in real time without needing directionKickoff Calls & Cross-Functional PartnershipLead or co-lead intake/kickoff calls with hiring managers, translating conversations into clear hiring plans and success metricsAct as a proactive partner to recruiters and hiring managers, flagging risks to timeline or process before they're askedRecruiting Program SupportDrive recruiting projects and initiatives (e.g., process redesign, tooling rollouts, employer branding programs) from scoping to completionApply baseline recruiting skills (sourcing, screening, market knowledge) to support the team as needed, without requiring close supervisionKey CompetenciesStrong ownership mentality, comfortable identifying problems and driving solutions without waiting to be toldDemonstrated ability to manage multiple projects independently with minimal guidanceStrong analytical skills; comfortable building and interpreting recruiting metrics/dashboardsExcellent communication and stakeholder management skills, including with senior hiring managersExperience managing travel logistics and vendor relationships a plusRequirements:RequirementsRequired Qualifications3-5+ years of experience in recruiting coordination, recruiting operations, or a related HR/TA roleAdvanced proficiency with an ATS (Greenhouse, Lever, Workday, GEM, etc.)Preferred QualificationsExperience managing travel logistics and vendor relationshipsGEMWhy Join MDVIP?Be part of a mission-driven organization leading innovation in personalized healthcare.Drive transformation and growth in a dynamic, fast-paced environment.Competitive Compensation: Attractive base salary complemented by performance-based incentives.Comprehensive Benefits: Health, dental, vision insurance, and retirement plans.Professional Development: Access to ongoing training and leadership development programs.Positive Work Environment: Consistently recognized as a Great Place to Work®, fostering a culture of collaboration and excellence.MDVIP is an Equal Opportunity Employer and is committed to fostering an inclusive and diverse workplace.
