Operations Administrative Assistant

Job Description TDW Marine is looking for a dependable, organized Operations Administrative Assistant to support day-to-day operations and help keep communication and workflow running smoothly.We service and repair marine diesel engines and generators throughout South Florida. Our team takes pride in being responsive, professional, and reliable, and we’re looking for someone who brings that same approach to their work each day.This role is ideal for someone who is detail-oriented, communicates well, and enjoys helping a team stay organized and on track.ResponsibilitiesClient Communication & Administrative SupportAnswer phones and communicate professionally with clientsEnter service requests, updates, and client information accurately into company systemsAssist with scheduling and general administrative coordinationMaintain organized records, files, and documentationBilling & Office SupportAssist with invoicing and follow up on outstanding invoicesSupport basic bookkeeping and administrative tasksHelp keep office and shop supplies stocked and organizedTeam SupportAssist leadership and staff with day-to-day administrative needsHelp ensure communication and follow-through across the office remain organized and timelyTake initiative within your role and help keep daily operations running smoothlyQualificationsPrior experience in an administrative, office support, or coordinator role preferredStrong organizational skills and attention to detailProfessional written and verbal communication skillsComfortable speaking with clients and following up on invoicesAbility to manage multiple tasks and stay organized in a fast-paced environmentExperience with Google Workspace, HubSpot, and QuickBooks Online is a plusWhat We ValueWe value reliability, professionalism, follow-through, and people who take pride in doing the small things well.
