The company is committed to training and supporting staff so they can deliver consistent, high-quality service.Role Description This is a full-time, on-site Virtual Assistant/Call Representative role based in Truckee, CA. The person in this position will handle inbound and outbound calls with patients, providers, and partner offices, offering courteous and professional support on billing-related questions and administrative inquiries. Daily responsibilities include answering and directing calls, documenting call details in internal systems, scheduling or confirming appointments as needed, and following up on outstanding issues. The role also involves managing email correspondence, maintaining accurate records, and supporting general office tasks to ensure smooth daily operations. The Virtual Assistant/Call Representative will work closely with billing and administrative teams to resolve issues promptly, protect sensitive information, and maintain a positive experience for every caller.Qualifications Strong communication skills, including clear, professional phone etiquette and confident written communication.Proven customer service or call center experience, preferably in a healthcare, billing, or administrative setting.Comfort working with computer-based tools such as practice management or billing systems, email, and basic office software (e.g., spreadsheets, word processing).Excellent organizational and time-management skills, with the ability to handle multiple calls and tasks while maintaining accuracy.Ability to maintain confidentiality and handle sensitive financial and health-related information in compliance with privacy standards.Strong problem-solving skills, including the ability to listen carefully, ask clarifying questions, and provide clear next steps to callers.Professional, patient, and empathetic approach when interacting with diverse individuals, including patients who may be stressed or confused about billing.High school diploma or equivalent required; additional training or experience in medical billing, office administration, or healthcare is a plus.Reliable attendance and punctuality, with a willingness to work standard business hours on-site in Truckee, CA.
