The Office of Financial Aid Services administers financial aid for Roosevelt University's undergraduate, graduate, and doctoral students and plays a critical role in supporting student access, success, and institutional enrollment goals.The Associate Director provides strategic leadership and functional oversight for the University's financial aid management system, external system interfaces, reporting, web and portal services, and related technologies. This role ensures efficient workflows, high-quality customer service, data integrity, and compliance with federal, state, and institutional regulations. Job is largely sedentary, but there is a need to move about the office and buildings frequently.Priority Application InstructionsDepartmental Contact InformationEssential Job FunctionsDuty and ResponsibilityStudent and Family Content and Communication:Plan, draft, and distribute email communications to students regarding financial aid application steps, requirements, awards, and deadlines using Ellucian Banner, Outlook, and other tools.Develop and maintain targeted financial aid content for the Roosevelt parent portal, providing clear, supportive messaging to guide families through the financial aid process.Maintain and update Financial Aid web pages to ensure content is accurate, student-centered, and aligned with Roosevelt's brand and values.Serve as a key contact for students and families seeking clarification on financial aid communications, delivering high-quality customer service.Percentage Of Time50Duty and ResponsibilityFinancial Aid Systems Leadership & Strategy:• Provides oversight and leadership for the financial aid management system, ensuring alignment with institutional priorities and enrollment strategies.• Serves as Financial Aid Functional Lead, acting as liaison with Roosevelt's Information Technology team and primary point of contact for financial aid systems processes, data, and reporting for external departments.• Leads planning for the Ellucian Banner financial aid roadmap, including monitoring, testing, reporting, and coordination of software updates and upgrades.• Collaborates with enrollment management leadership and systems leads in other enrollment units to align financial aid technology with broader university objectives.Percentage Of Time35Duty and ResponsibilityData, Reporting & Compliance:• Develops data-driven insights and ensures accurate financial aid reporting for federal, state, and institutional compliance.• Manages creation of reports and survey data by developing queries, producing reports for financial aid staff and administrative offices, and ensuring data integrity for federal, state, institutional, and audit reporting.• Serves as a key resource for internal and external auditors by ensuring accuracy, consistency, and reliability of reported data.Percentage Of Time25Duty and ResponsibilityTechnology Optimization, Automation & Process Improvement:• Utilizes technology to enhance packaging, awarding, and student communications, optimizing system capabilities to improve efficiency and the student experience.• Implements and supports automation strategies that streamline financial aid workflows and reduce manual processing.• Directs system upgrades and process improvements to ensure seamless integration with campus technology and operational continuity.Percentage Of Time20Duty and ResponsibilityNew Initiatives & Innovation:• Leads planning and implementation of new technology initiatives that enhance financial aid processing, service delivery, and regulatory compliance.• Coordinates enhancements to online functionality and evaluates emerging tools to improve service and operational effectiveness.Percentage Of Time10Duty and ResponsibilityTraining, Support & Cross-Campus Collaboration:• Provides training and guidance to financial aid staff on system usage and best practices.• Proactively builds and maintains strong working relationships across the University to support continuous improvement of financial aid systems and programs.• All responsibilities are carried out in accordance with the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.
