This is a high-trust, high-responsibility role working directly with the firm’s founder. You will be responsible for making sure the business side of the firm runs smoothly, including billing, collections, administrative workflows, team coordination, client onboarding, and related operational matters. This role is ideal for someone who takes ownership, solves problems, follows through, and wants to grow into a long-term operations role.Key ResponsibilitiesBilling & Financial OperationsManage monthly billing processes using QuickBooks and ClioOversee invoicing and ensure timely delivery to clientsTrack accounts receivable and proactively follow up on outstanding invoicesCoordinate with accounting and assist with financial tracking and reportingFirm OperationsEnsure attorneys are entering time correctly and consistentlyManage and improve internal workflows and processesKeep day-to-day operations running smoothly across the firmMaintain organized internal records, checklists, and process documentationClient & Administrative SupportCoordinate client onboarding, including engagement letters, forms, and related administrative stepsAssist with client-related administrative requests, including security questionnairesManage firm insurance matters, including annual malpractice insurance renewals and related documentationHelp maintain accurate client, matter, billing, and operational recordsTeam CoordinationWork closely with internal team members, including administrative staffServe as the operational point person for day-to-day issuesHelp keep projects and recurring workflows movingExecutive SupportProvide executive and personal support to the founder as neededHelp manage priorities, follow-ups, and key tasksWhat Success Looks LikeBilling runs smoothly and on time each monthAccounts receivable is actively managed and under controlThe founder is not pulled into routine operational issuesThe team operates efficiently with clear processes and minimal frictionProblems are identified and solved proactivelyQualificationsRequiredStrong, hands-on QuickBooks experienceExcellent organizational and project management skillsStrong attention to detailHigh level of ownership, reliability, and accountabilityAbility to manage multiple priorities independentlyStrong written and verbal communication skillsNice to HaveExperience in a law firm or professional services environmentFamiliarity with Clio or similar billing/timekeeping systemsExperience supporting a business owner, founder, or executiveWhy This RoleHigh-impact role working directly with the firm’s founderOpportunity to grow into a long-term operations roleRemote and flexible work environmentJoin a modern, fast-growing law firm with strong systems and processesHow To ApplyPlease submit your resume and a short note explaining your relevant operations, billing, and QuickBooks experience.
