Virtual Administrative Assistant (Volunteer Position)
Reporting to the Executive Assistant to the CEO and the CEO, Virtual Administrative Assistants will provide administrative and clerical support to assist with effective operations of the Executive Office of AADA and manage or support special projects.This role requires the ability to exercise discretion and take independent initiative. This role utilizes online communication channels, such as internet, dropbox, phone, e-mail, text and others to deliver information to donors, partners, volunteer staff, and others.Duties and ResponsibilitiesPreparing and editing documents and correspondence (memorandums, email responses, letters, reports, instructional documents, outreach materials, donation requests, etc)Prepare PowerPoint/Canva presentations, graphicsData entrySimple research (background information on potential grantors, partnerships, events, etc)Assist with grant application research as neededCreating and maintaining organizational systems (primarily using Google Suite: Gmail, Sheets, Docs, Calendar, Forms)Assist with managing accounts and calendarsScheduling and coordination of meetings and eventsAssist with social media needsAssist with creating and distributing the newsletterAssist with website maintenance as neededOther administrative tasks as assignedSkills and SpecificationsProficient in computer applications such as Google Suite, Microsoft Suite, CanvaAmbitious, a self starterIntuitiveAbility to work well with others and to complete work with minimal supervisionExcellent written and verbal communication skillsExceptional organizing and planning skillsAbility to understand, and execute complex written and verbal instructionsAble to maintain confidentialityAble to react calmly, effectively and keep composure under pressureAble to deliver excellent customer service, externally and internallyAbility to meet close deadlinesPreferred Education and QualificationsCollege degree or working towards a college degree from an accredited institutionAt least 1 year experience in administrative functionsAt least 1 year Customer Service experienceAll applicants must be current residents of the United States.Applications submitted by individuals residing outside of the United States will not be reviewed, and due to the high volume of applications received, we will not be able to provide individual follow-up notifications regarding application status.We encourage individuals of African American or Black descent to apply, while also welcoming volunteers from diverse ethnic backgrounds.
