Senior Administrative Assistant

We are seeking a Senior Administrative Assistant to support a Sr Director Firstline+ and additional Sr Directors (HR Team) during a maternity leave coverage. This role operates in a fast-paced, results-oriented corporate environment and requires a highly organized professional who can manage multiple executive priorities with discretion and precision.The ideal candidate brings strong experience supporting senior-level leaders, excels in complex calendar management, and demonstrates exceptional communication and organizational skills. This is an on-site role (traditional hybrid – Fridays remote) with a strong possibility of extension. Previous company experience is required.Key ResponsibilitiesComplex calendar management using Outlook (high-volume, multi-time-zone scheduling)Coordinate executive meetings, leadership sessions, and cross-functional engagementsBook and manage travel arrangements, itineraries, and documentationPlan and execute team meetings, offsites, and events (including budgeting, catering, agendas, logistics)Prepare and process expense reports, purchase orders (POs), and invoice trackingAssist with budget tracking and expense monitoringCreate and format high-quality PowerPoint/Keynote presentations and documentsDraft and edit executive communications; manage distribution listsMaintain organizational charts and team documentationCoordinate workspace or department moves with stakeholdersSupport special projects and track deadlinesServe as the main administrative point of contact for the teamProvide coverage for additional leaders as neededHandle highly confidential and sensitive informationRequired QualificationsBachelor’s degree in Business or related field (or equivalent experience)Minimum 3+ years of administrative experience supporting senior leadersPrevious company experience requiredAdvanced proficiency in Microsoft Outlook (complex calendaring), PowerPoint, Word, and ExcelExperience using Zoom and MS TeamsProven experience supporting senior-level executives and diverse stakeholdersStrong event planning and executive travel coordination experienceAbility to manage multiple priorities in a fast-paced, high-ambiguity environmentStrong attention to detail and follow-throughAbility to maintain confidentialityWillingness to occasionally work outside core business hoursTop 3 Non-Negotiable SkillsExpert-level Outlook calendaring (complex executive scheduling)Experience supporting senior leadership and diverse groupsStrong event planning and travel coordination experience in a fast-paced environmentAbout BrickRed SystemsBrickRed Systems is a global leader in next-generation technology, consulting, and business process services.
