Technical Documentation Coordinator
Position Title: TECHNICAL DOCUMENTATION COORDINATORLocation: HOUSTON, TXFLSA Class: EXEMPTResponsible to: SR. DIRECTOR HSQ & TRAININGPosition Summary: VoltaGrid is seeking a Technical Documentation Coordinator with experience in oil and gas or industrial operations to support the development, control, and maintenance of operational, safety, and quality documentation. This role is responsible for both creating documentation and managing the document control process. The position works with operations, HS&E, quality, and engineering teams to ensure procedures and work instructions are accurate, current, and aligned with field practices.Essential Duties And ResponsibilitiesDevelop, write, and maintain:Standard Operating Procedures (SOPs)Work Instructions and task-level guidanceSafety procedures and permit-related documentationTraining materials and reference documentsReview And Update Existing Documentation ToCorrect inaccuracies and gapsStandardize format, structure, and terminologyEnsure alignment with current field practicesWork with operations, HS&E, quality, construction, and engineering teams to:Gather technical information and process detailsValidate procedures against actual work conditionsResolve discrepancies between written procedures and field executionConduct Field Engagement, As Needed, ToObserve work activities and workflowsCapture task steps, variations, and critical controlsEnsure documentation reflects real-world conditionsConduct audits and verifications for locations, contractors and suppliers as requiredEnsure Documentation Aligns WithInternal standards, customer requirements, and company expectationsISO frameworks (e.g., ISO 9001, ISO 45001)API standards and recommended practicesManage Document Control Processes, IncludingVersion control and revision trackingDocument review, approval, and publishing workflowsArchiving of obsolete or superseded documentsMaintain Consistency Across Documentation ByApplying standard templates and formattingUsing consistent terminology and naming conventionsSupporting development of a structured document systemSupport Audits, Inspections, And Due Diligence ByProviding current and accurate documentationAssisting with document updates and gap closureResponding to audit-related requestsSupport Continuous Improvement ByUpdating documentation based on field feedbackIncorporating changes through Management of Change (MOC)Assisting with standardization across projects and locationsOther Requirements 5+ years of experience in technical writing, document control, or a similar role within oil and gas, energy, or industrial operations Experience developing SOPs, procedures, or work instructions Working knowledge of field operations (construction, maintenance, or production environments) Experience managing document control processes (versioning, approvals, distribution) Ability to gather information from multiple sources and organize it into clear, structured documentation Strong attention to detail and organizational skills Preferred Qualifications Experience with microgrid systems or power generationFamiliarity with ISO standards (e.g., ISO 9001, ISO 45001) Knowledge of API standards and recommended practices Experience with document management or HSE systems such as KPA FlexThe above statements are intended to describe the general nature and level of work being performed by employees assigned to this classification.
