Vedder's Chicago office is seeking a Benefits and HRIS Coordinator. The Benefits and HRIS Coordinator will assist and support the Director of Benefits and the HRIS Manager in the day-to-day functions of the Benefits and HRIS Departments.As the Benefits and HRIS Coordinator, your job duties will include but are not limited to:Benefits:Provide back up support to Benefits Coordinator on new hire orientations and Life Events for employees (new hires, change of status enrollments and Dependent verifications)Review the benefits mailbox to provide guidance to employees regarding benefits issues and questions; including liaising with third party administrator for claims questions. Liaise with payroll on benefits changes/adjustments for late enrollmentsBackup to Benefits Coordinator on flexible spending plans and health savings accountsInputs employee deduction/group changesAssists with maintenance and management of data for retirement plans (401k) including employee inquiries regarding account informationCoordinates annual Open Enrollment with Benefits and HRIS Specialist for all officesAssists with updates to employee/benefits information on the intranetProcesses all Benefits invoices, working directly with the Benefits and Accounting Teams to ensure timely invoice allocation and paymentHandles all Benefits reporting for payment of vendor invoicesPerforms other Benefits related duties as assignedHRIS:Operates as HRIS level 1 support; troubleshoots HR, Payroll, Benefits and other systems issues; works with HRIS Specialist and/or UKG support on more complex mattersServes as a key contact to ensure data integrity, performing regular HR system audits and system testing, making recommendations to improve processesPrepares reports and ad hoc queries for employee data contained in HRIS in response to requests from users within Human ResourcesAssists with maintaining and updating system configurable fields, tables, and features supporting HR, payroll and benefitsAssists with set up of evaluation processes in viDesktopProvides support and training to users on HRIS systems and processesCreates and maintains HRIS system documentationParticipates as a core team member of HRIS on process improvement initiatives and various projectsPerforms other HRIS related duties as assignedSkills & Competencies:Detailed-oriented and demonstrated ability to work with highly confidential informationEffective written and oral communication skillsAbility to take initiative and work with limited supervisionAbility to excel in a fast paced environmentAbility to multi-task and work under pressure to meet strict deadlinesKnowledge of applicable state and federal laws and regulations e.g., ERISA, DOL, IRS, HIPAA, COBRA, FMLA, ADA, Healthcare Reform, ACA, Section 125 and 401(k) preferredPrior experience using HRIS systems (UKG)Strong interpersonal skillsQualifications & Required Experience:Bachelor’s Degree Preferred1-3 years of Benefits/HRIS experiencePosition also requires the ability to work under pressure to meet strict deadlines. Computer Skills:To perform this job successfully, an individual must be proficient in the following software:Strong proficiency in MS Office, particularly Excel and demonstrated proficiency in HRIS systemsCompensation Range: $55,000/yr. to $65,000/yr.At Vedder, we believe in recognizing and rewarding our employees' contributions.
