Service Administrator

OverviewThe Service Administrator will support the Area Service Manager, and Service Technicians, and customers through exceptional service and support and is responsible for coordinating joint activities and exchanging information with many internal and external contacts.ResponsibilitiesHandle general customer inquiries, i.e. invoices and billing questions, and general product information in a prompt and courteous mannerRespond to all internal inquiries from Technicians, Area Service Managers, and other internal contacts promptlyHelp resolve customer billing or service issues to resolve past due invoicesInput billings data daily. (100% completed by the end of each week)Generate and properly complete quality work ordersComplete inter-division billing (installation, intra-shop transfers & warranty)Input, track, and verify commissions using Quarterly Commission ReportPrepare and review the Open Order Report on a weekly basis.Effectively schedule technicians from the Open Order Report.Review and process invoices twice a week (Accounts Payable).Accounts Payable invoices to be 100% current by the end of the week.Utilize the Metrix Software to open, process, and complete ordersPerform administrative support to assigned Customer Support Centers in an accurate and timely fashionOrder all publications and literature and maintain the filling of product or marketing materialsMaintain parts inventory including maintaining the order log, pricing/ordering parts, working with various vendorsMaintain the quotation log for the Customer Support CenterAlways represent Fairbanks Scales in a professional and ethical mannerPerform other related duties as assignedRequirements2 - 4 years of work experience in a clerical or administrative roleWorking knowledge of word processing and spreadsheet programsKnowledge of basic mathematical computationsGeneral office organization skillsPossess a cooperative attitude, be personableReliable attendance is an essential requirement of the jobFairbanks Scales Inc. is an Equal Opportunity Employer including Disability/VetsDISCLOSURE REGARDING BACKGROUND INVESTIGATIONFairbanks Scales Inc. may obtain information about you from a third-party consumer reporting agency for employment purposes.
