JOB OVERVIEW Job Description Summary: The Columbian College of Arts and Sciences (CCAS) seeks a Lead Student Services Specialist, Doctoral Student Program, to serve as the principal point of contact for all Doctoral level students and their faculty. The Student Services Specialist, Doctoral Student Program tracks the academic progress, responds to student concerns, approves graduation clearances, assists in organizing the Doctoral Hooding ceremony, and works closely with the Associate Dean to resolve complex issues. Additionally, the Lead Student Services Specialist, Doctoral Student Program is the liaison with central administrative offices such as the Registrar’s Office, Financial Aid, and Student Accounts. The Lead Student Services Specialist, Doctoral Student Program, is also responsible for accurately handling all current PhD student records and activities within CCAS. Responsibilities: Monitors the progress of over 600 PhD candidates. Advise PhD students on registration, graduation, exception requests, and academic standing. Counsel students on University and CCAS policies and procedures. Advise faculty of CCAS and University policies and procedures. Train faculty on new procedures and technologies as they are initiated into the College. Has final administrative approval over student dissertations and clears all PhD students for graduation. Acts as the CCAS contact for the submission of Electronic and Thesis Dissertations (ETD) and ensures all dissertations have been submitted to ProQuest and surveys of earned doctorates have been completed. Oversees the daily operations of graduate student services for PhD programs. Implements processes and policies to ensure all student files are maintained correctly. Develop relationships with other GW offices (e.g., the Registrar, and Student Accounts) to ensure students receive excellent customer service. Process CCAS and University forms. Research and evaluate unusual or complex problems and requests concerning PhD students; contact the department and other GW units and/or students as needed; find solutions to unusual or complex problems. Advise the Associate Dean and/or faculty advisor when a student’s record indicates a need for action. Plan and participate in events including, but not limited to, ETD workshops, orientation, the GW Doctoral Hooding Ceremony, CCAS Celebration, and University Commencement and admitted student days. Trains and supervises all graduate office temporary staff including work-study students, seasonal staff, and the administrative assistant role. Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Minimum Qualifications: Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
