The Conference Center Coordinator is responsible for all of the hospitality and event coordination duties for the office. This role provides operational support for Parker Poe's events, while displaying a positive client experience. The Conference Center Coordinator is a non-exempt, in-office administrative position. The Conference Room Coordinator reports to the Office Administrator. There are no direct reports in this position. This role works a daily shift of 8 hours per day, equating to 40 hours per week. Additional hours (including overtime) are required on occasion. Primary Duties and Responsibilities Oversee and coordinate the activities of the office conference rooms, including scheduling, providing hospitality to guests, managing inventory, etc. Prepare office for visiting attorneys and staff. Collaborate with the Office Coordinator on administrative tasks. Provide concierge services, such as printing, Wi-Fi, transportation arrangements, and other general needs for clients and visitors, dinner meetings, and after-hours functions. Coordinate and assemble the audiovisual equipment for meetings, as needed. Assist with departments on in-house events and gatherings as they arise. Serve as backup and assist with the mail and print/copy duties as needed. Provide additional administrative assistance to multiple departments when needed. Other duties as assigned by the Office Administrator or attorneys. Requirements Minimum of two years of administrative support or legal industry experience, or the equivalent combination of education and experience; Bachelor's degree preferred. Excellent customer service and communication skills. Possess basic proficiency in Microsoft Word, Excel, and Outlook. Ability to handle multiple tasks simultaneously in a fast-paced environment and use resources efficiently. Familiarity with basic office equipment and procedures. Ability to bend, stoop, and lift up to 25 pounds and move tables, chairs, and equipment.
