Job description:Location: Hybrid – 4 days in office, 1 day flexibleEmployment Type: Full-TimeReports To: CEO/VPPosition OverviewWe are seeking a highly organized, discreet, and service-oriented Office Assistant who will grow into an Office Manager role. This person will be the operational heartbeat of the office , helping answer phone calls, customer interactions, scheduling, supplies, and executive support. The ideal candidate is detail-driven, trustworthy, calm under pressure, and enjoys helping both customers and leadership stay organized and efficient.This is a growth-track role with clear advancement into Office Manager for the right candidate.Key ResponsibilitiesOffice & Administrative SupportAnswer and manage incoming calls with professionalism and warmthProvide excellent customer service and route inquiries properlyManage front office operations and daily administrative needsOrder and track office supplies and inventoryMaintain organized digital and physical filing systemsSupport internal team coordination and communicationTrack tasks and follow up to ensure completionExecutive & Scheduling SupportAssist CEO with calendar management and schedulingCoordinate meetings, appointments, and travel as neededHelp manage reminders, deadlines, and priority itemsProvide light personal administrative support to CEO when requiredPrepare basic documents, forms, and internal reportsOperations SupportHelp coordinate vendors and service providersAssist with basic operations tracking and office workflowsSupport onboarding logistics for new team membersIdentify organization and efficiency improvementsRequirementsMust pass Level 2 background checkHigh level of discretion and confidentiality requiredExtremely organized and detail-orientedStrong verbal and written communication skillsProfessional phone presence and customer service mindsetAbility to multitask and prioritize in a fast-moving environmentProficient with Google Workspace or Microsoft OfficeComfortable learning new systems and softwareSelf-starter with follow-through and accountabilityPreferred QualitiesExperience in administrative, office, or customer service rolesExperience supporting an executive is a plusProcess-minded and naturally organizedCalm, positive, and solution-focusedGrowth mindset and leadership potentialWhat Success Looks LikePhones answered professionally and promptlyCEO calendar and scheduling run smoothlyOffice operations stay organized and stockedCustomers and partners feel well supportedTasks are completed without repeated follow-upTrust and discretion are demonstrated consistently.Benefits:Paid time offWork Location: Hybrid remote in Sunrise, FL 33323
