Part-Time AP Specialist
Role ProfilePosition Summary: The Part-Time Accounts Payable Specialist is a non-exempt, part-time role that reports to the Accounting Manager. As a Part-Time Accounts Payable Specialist, you play a key role in ensuring vendors are set up, supported, and paid accurately and on time for goods received. This role requires strong attention to detail, problem-solving, and communication skills, along with effective inbox and task management. You will enter vendor invoices according to the billing schedule and resolve vendor issues when discrepancies arise. You will also maintain accurate electronic records in line with company processes.Key Competencies for Success: Attention to detail, Fostering Communication, Analytical Thinking, Problem Solving, Adaptability, Resilience, Quality Focus, Exemplifying Integrity, Embracing Diversity, Continuous LearningKey Accountabilities & Achievements: Accounting Inbox Management Communicate with vendors in a timely and professional manner; address inquiries and outstanding items and escalate to the appropriate person; keeping inbox clean and organized. Accounts Payable – Inventory VendorsAccurately and in a timely manner, enter all inventory invoices based on the billing schedule; enter vendor credits as received, resolve VRMA issues, and follow up on any VRMAs older than 45 days. Accounts Payable – Vendor Billing Resolution Work with vendors to resolve all billing issues from inventory vendors, following up as needed to ensure timely closure. Accounts Payable - Vendor Statement ReconciliationsReconcile vendor accounts, request statements as needed, and communicate discrepancies. Work with the Accounting Manager/Comptroller to ensure timely payments to vendors. Knowledge, Abilities & Experience for Success: High school diploma or GED is required. Prior accounting experience preferred but not required – we will train the right candidate. NetSuite ERP knowledge is a plus but not required. Basic Excel and Outlook skills required. Must have excellent work ethic, including willingness to work flexible schedules during peak season. Must be able to work 3 home-games during the UT football season. Physical Demands: Substantial movements (motion) of the wrist, hands, and/or fingers in a repetitive manner. Continuous sitting, standing, walking, using stairs, hearing, talking, bending, crouching, and working closely with others. Exerting up to 20 pounds of force occasionally to lift, carry, pull, or otherwise move objects.Work Environment: Well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation. Moderate noise (examples: business office with computers and printers, light traffic). Indoor and outdoor work environments. On-site, with flexibility for hybrid on occasion; hours of work are Monday through Friday, with occasional evenings and/or weekends during peak periods.
