Vessel Registration & Documentation Assistant?? Location: New York, NY 10022 (On-site)?? Employment Type: Full-Time?? Schedule: Monday - Friday, regular business hoursAbout the Role:We are seeking a highly organized and detail-oriented Vessel Registration & Documentation Assistant to join our client's team. This role supports the vessel registration and documentation process for Maritime and Corporate Registries. The ideal candidate will assist in processing vessel documentation, maintaining accurate records, and providing exceptional administrative and customer service support to shipowners, operators, and maritime professionals around the world.Key Responsibilities:• Assist with the preparation, review, and processing of vessel registration and documentation forms, certificates, and related correspondence.• Verify the accuracy and completeness of ownership documents, mortgages, and other supporting materials.• Maintain and update vessel registration databases to ensure all information is current and compliant with international and registry-specific requirements.• Liaise with shipowners, management companies, legal representatives, and internal departments to facilitate timely vessel registration and renewals.• Support the issuance, endorsement, and renewal of vessel certificates.• Ensure compliance with registry regulations, maritime conventions, and company procedures.• Provide administrative support, including data entry, document tracking, and file management (electronic and physical).• Respond promptly and professionally to inquiries related to registration status, documentation requirements, and general registry information.• Assist in special projects and audits related to vessel registration and documentation, as assigned.Qualifications:• Associate's or Bachelor's degree preferred (Business Administration, Maritime Studies, or related field).• Prior administrative or documentation experience; maritime or legal experience is a plus.• Strong attention to detail and excellent organizational skills.• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).• Strong written and verbal communication skills with a customer-service mindset.• Ability to manage multiple priorities in a fast-paced, deadline-driven environment.• Familiarity with vessel registration, maritime law, or shipping documentation is highly desirable.Why Join Us:• Opportunity to work for a globally recognized maritime organization with an outstanding industry reputation.• Collaborative, professional team environment with long-term growth potential.• Competitive compensation and comprehensive benefits package.• Be part of a mission that supports one of the largest and most respected ship registries in the world.Equal Opportunity Employer / Disabled / Protected VeteransThe Know Your Rights poster is available here:https://www.eeoc.gov/sites/default/files/2023-06/22-088_EEOC_KnowYourRights6.12.pdfThe pay transparency policy is available here:https://www.dol.gov/sites/dolgov/files/ofccp/pdf/pay-transp_%20English_formattedESQA508c.pdfFor temporary assignments lasting 13 weeks or longer, AppleOne is pleased to offer major medical, dental, vision, 401k and any statutory sick pay where required.We are committed to working with and providing reasonable accommodations to individuals with disabilities.
