Job Description
QUALIFICATIONS: High school diploma required (Associate's degree or higher preferred) Experience in a medical office, healthcare setting, or administrative role preferred Strong organizational and multitasking skills Excellent communication skills (English and Spanish required) Knowledge of medical terminology and insurance processes (preferred) Basic computer skills (EMR/EHR experience is a plus) POSITION SUMMARY: The Medical Patient Coordinator supports the daily administrative operations of the center. This role serves as a point of contact for families, healthcare providers, and the internal team, assisting with patient admissions, documentation, and scheduling of services, while consistently reflecting Bee Kind PPEC's values of kindness, professionalism, and excellence in care.This position works under the direction of the Administrator/Owner. RESPONSIBILITIES: Serve as the primary point of contact for families and visitors Coordinate the patient admission process Request, receive, and organize medical records and documentation Communicate with physicians, hospitals, and insurance companies Assist with insurance verification and authorizations Schedule and coordinate appointments and services Maintain organized and confidential patient records (HIPAA compliant) Handle phone calls, emails, and general administrative tasks Collaborate with the DON and clinical team to ensure coordinated care Maintain an organized, welcoming, and professional office environment Maintain close and effective communication with families and, when necessary, with the transportation company, supporting the coordination of schedules, pick-ups, drop-offs, and any transportation-related needs Support additional administrative tasks as needed KEY COMPETENCIES: Kindness and empathy in interactions with families and team members Professionalism and reliability Attention to detail Strong interpersonal and communication skills Ability to work in a fast-paced environment Ability to follow instructions and established procedures Strong organizational skills
