Compensation:
$17 - $18 hourly
Responsibilities:
Answer all incoming telephone calls for Condominium.
Handle messages on voice mail and change outgoing office message as necessary.
Greet and assist all individuals entering the office, redirect as necessary to management office.
Maintain a log of all persons and contractors visiting the office.
Maintain call and fax log.
Capture unit owner contact information and update as required.
Receive maintenance calls and prepare work orders.
Create, track, and follow up on all maintenance requests.
Monitor maintenance schedules including pest management, lawn care, etc. Notify Manager of any discrepancy or missed appointments.
Coordinate monthly pest management appointments.
Schedule and confirm service appointments for maintenance staff and for contractors as necessary.
Hold unit keys in safe manner. Keep good control of key box.
Maintain monthly service log of all maintenance calls.
File correspondence and maintenance requests when completed.
Maintain all files and all filing systems. Complete all filing.
Type correspondence, form letters and community notices as directed.
Type correspondence from authorized Board or Committee members as directed by Manager.
Write newsletter, flyers, notices, etc., and coordinate for delivery or posting in the complex.
Label/stuff mailings to homeowners as requested by management
Inventory office supplies needed and order as directed.
Prepare purchase orders for supplies ordered.
Request maintenance staff to prepare interior resale inspections and supply result to management.
Issue pool and parking passes as required per policies.
Prepare/update charts on the progress of projects being done by maintenance staff.
Update management as necessary on pending work orders/projects.
Prepare Board with paperwork for hearing.
Maintain desk, work area and immediate office area in a neat and orderly fashion.
Qualifications:
2+ years of experience in property management or related field
Knowledge of property management software and tools
Strong customer service and interpersonal skills
Ability to multitask and prioritize workload effectively
US Work Authorization
