Overall, we are committed to making connections between people who share our goals, amplifying the voices of leaders from across the city, and expanding the capacity of organizations and leaders to achieve their missions.The Team Administrator is an integral and active part of the Team’s Core Group, which includes active participation in meetings, seminars, site visits, etc. The Team Administrator works closely with the Team Leader to ensure efficient workflow and communications across the Team and reports to the Team Leader.Essential Duties And ResponsibilitiesPrepare Grant and Administrative budgets, review budget forecast, and make adjustments throughout the yearAssist Team Leader with the progress of gifts and grants, including proposals, briefs, and reports, and tracking through different stages of the review and approval processLiaise with grants management staffInteract with, provide guidance to, and respond to questions from grant recipients and othersManage consultant contractsParticipate in meetings and serve as recorder of critical tasks, discussions, and decisionsPerform writing and copy editing assignments as needed, including communication with grantees and grant seekers and drafts of grant-related documentsProvide project management to the annual participatory grantmaking process for the team’s Culture, Equity, and the Arts process as well as the Foundation’s Annual Staff AwardCoordinate document and information management tasks that add value for the TeamManage the production of Board materialsLiaise with other Teams and Departments as neededAssist with orientation of new Team membersContribute to Chicago Commitment strategy developmentOther Duties And ResponsibilitiesManage special projects and workflow as requestedContribute to the conceptualization and management of events for grant recipientsWork with Team Coordinators to ensure smooth and efficient operation for TeamServe as back-up to Team Coordinators and participate in cross-trainingRepresent the Foundation at numerous meetings and events both during and outside of normal workday hoursPerform other duties as assignedQualificationsA bachelor’s degree required, or a minimum of six to ten years of relevant experienceComfortable working in a team environmentAble to take initiative and work proactivelyStrong interpersonal, communication, and leadership skillsExcellent writing, editing, organizational, and verbal skillsAble to effectively communicate in written and oral format with both internal and external contactsFacility in working with budgets and budgetingOrganized and able to think and work independently with little direct supervisionStrong working knowledge of Microsoft Outlook, Word, Excel, Teams, and ZoomThe position is hybrid and based in Chicago, Illinois.Annual salary for this role will start at $73,900.
