Overview Job Location: Kickapoo Tribe of Oklahoma – McLoud, OK 74851 Job Category: Admin - Clerical This position falls under the Tribal Administration as operated by the Kickapoo Tribe of Oklahoma. Operational hours are Monday through Friday, 8:00 A.M. to 5:00 P.M., or as needed. The purpose of this position is to welcome visitors by greeting them in person or on the telephone and to answer or refer inquiries. The Administrative Assistant may also provide support to tribal members and other clientele with questions and/or processing forms. The role supports internal departments with clerical tasks and maintains directories for employees and departments. Essential Duties, Functions, and Responsibilities Responsible for daily administrative functions, including answering the phones. Promotes positive public/employee relations at all times. Operate office equipment (fax machines, copiers, phone systems) and use computers for spreadsheet, word processing, database management, and other applications. Answer telephones, relay information to callers, take messages, or transfer calls to appropriate individuals. Greet visitors, handle inquiries, and direct them to appropriate persons according to their needs. Maintain confidentiality; adhere to confidentiality agreements when handling sensitive material. Perform special assignments related to management policies or general business duties; exercise discretion and independent judgment. Schedule meetings and other appointments; maintain calendars for multi-purpose building use. Assist with travel requests, distribute checks, and answer questions about travel requirements. Prepare requisitions for office supplies as needed. Check and deliver mail/inter-office correspondence daily; sort, stamp, and deliver as required. Serve as an interpreter as needed and have knowledge of current topics in Indian Country. Deliver or pick up items to/from other offices such as health administration or clinic. Assist in activities such as setting up for meetings and making copies as needed. Perform other duties as assigned and travel as needed. Education and Experience High school diploma or GED equivalent. Two (2) years of clerical support experience in a fast-paced office setting, or certification in a business office setting preferred. Additional Qualifications Two years of clerical support experience in a fast-paced office setting. Excellent written and verbal communication skills; able to interact courteously and effectively with clients, families, and office staff. Type at least 35 words per minute. Perfect attendance is a mandatory requirement. Ability to speak the Kickapoo language is preferred. Strong interpersonal and organizational skills; ability to work with employees at all levels via in-person, phone, email, and written correspondence. Ability to work independently or as part of a team and maintain high standards of work practices. Experience with Microsoft Office programs (Excel, Word, Publisher, PowerPoint). Maintain a high level of confidentiality. Position Qualification Preferences Associate degree in business or a similar field, with 2 years of previous experience in an office setting. J-18808-Ljbffr
