VCA Event & Volunteer Coordinator

VCA Event & Volunteer CoordinatorPosition Type: Part-Time, 20 hours per week, year-round Reports to: Enrollment Director Position OverviewThe Event & Volunteer Coordinator plays a key role in creating meaningful, well-executed events and cultivating a strong, engaged volunteer community. This individual is highly organized, people-focused, and thrives in a fast-paced environment. The coordinator will plan and execute events from start to finish while recruiting, training, and supporting volunteers to ensure a positive and impactful experience for all involved. Key ResponsibilitiesEvent Planning & Execution Plan, coordinate, and execute school events through completion, including timelines, and logistics. Assist with event marketing Prepare event materials such as signage, schedules, programs, and supplies Coordinate with staff, and vendors to ensure smooth event execution Manage event budgets, track expenses, and ensure cost-effective planning Provide day-of event leadership and troubleshoot issues as they arise Serve as a primary point of contact for event-related and volunteer communications Volunteer Coordination Staff Liaison for VCA Parent Association Recruit, train, schedule, and support volunteers for events and ongoing needs Clearly communicate expectations, roles, and responsibilities Build positive relationships with volunteers and create a welcoming, appreciative culture Maintain volunteer records, schedules, and communication (SignUp Genius) Recognize and thank volunteers for their service and contributions Spirit Wear Lead Spirit Wear program (ordering, sales, and delivery) Qualifications & SkillsProven experience in event planning, volunteer coordination, or a related role Strong organizational and time-management skills with excellent attention to detail Exceptional interpersonal and communication skills Some physical lifting required Ability to manage multiple projects simultaneously and meet deadlines Calm, solution-oriented approach in fast-paced or high-pressure situations Comfortable leading groups and providing clear direction Proficiency in basic office and project management tools (email, calendars, spreadsheets, databases) Education & ExperienceExperience preferred Personal AttributesPeople-centered and service-oriented Flexible, adaptable, and dependable Positive, collaborative team player with a heart for excellence and hospitality
