This position will sit in our Tempe office location.Experience/TrainingA High School Diploma or GED is requiredBusiness school, Associate’s degree or equivalent is a plusCritical SkillsProficient computer skills, including typing, Microsoft Office Suite, Procore, BluebeamProficient in Outlook, organizing meetings, assigning tasks, working with distribution listsClear written and verbal communicationOrganize and write procedures in a logical/methodical manner.Ability to multitask and work on multiple residential or commercial projects simultaneously including managing priorities of multiple managers.Consistently produces accurate work and has excellent attention to detailWork well in a team environmentAR/AP skills, managing the release of payments to subs/vendors, assisting in creating of monthly bills to the owner, tracking cost, and other accounting duties as neededProficient in document control and has the ability to assist in processing RFI’s and submittalsAble to be resourceful and take initiativeMaintains a friendly and courteous attitude, even under stressful situationsDuties, Responsibilities and Expectations: (other duties may be assigned to meet business needs)Provide various administrative support to a residential or commercial project team.Contract administration, working with estimating and project management in creating and issuing contract and purchase orders for the project.Open & Close Billing Periods on Time, Send DocuSign's Out and Manage Completion to Facilitate Timely Billing to the OwnerManages risk by proactively gathering and tracking insurance and licensing requirements for subcontractors and vendorsFile necessary preliminary lien and commencement notices for their projects. Review and verify lien releases for all vendors.Process projects close out documents (O&M manuals, etc.)Maintain efficient, neat, and organized filing systems for all projects, in a timely fashion.AR/AP track, manage and process purchase orders and invoices.Organizes and prepares documents and reports for PM, utilizing and maximizing Procore as a documentation source.Interacts with clients, vendors, and staff in a professional, courteous and appropriate manner.Participating in monthly change event and forecast meetings.Committed to supporting Big-D’s policies and procedures.Physical RequirementsThe physical requirements described here are representative of those that must be met by an employee to successfully perform the essential responsibilities of this job.
