We are looking for someone who can learn how the business operates, understand the data and workflows behind it, and help us build smarter, more efficient systems as we grow.The Role:This is not a traditional helpdesk-only role. The right person will be curious about how the business works, comfortable digging into data, and able to turn manual processes into clearer workflows, reports, and automations. You will work closely with leadership and the operations team to understand how information moves through the business, from prospects and submissions to policies, renewals, claims, client service, reporting, and internal follow-up.You should be comfortable with SQL, Excel, Microsoft 365, Power BI or similar reporting tools, and workflow automation tools such as Power Automate. You do not need to be a software engineer, but you should be able to think logically, document processes clearly, and build practical solutions that save the team time and reduce errors.What You’ll Be Doing:Business process and workflow improvementLearn and document core business workflows across sales, service, renewals, submissions, claims, reporting, and client follow-up.Identify bottlenecks, duplicate work, manual steps, and places where data is not flowing cleanly between systems.Work with leadership and team members to prioritize automation and reporting opportunities.Create clear process documentation, workflow maps, and standard operating procedures.Data analysis and reportingBuild and maintain dashboards, reports, and scorecards for leadership and department-level visibility.Use SQL, Excel, Power BI, or similar tools to pull, clean, organize, and analyze operational data.Help define key metrics such as pipeline activity, submission status, renewal workload, client follow-up, task completion, producer activity, carrier response time, and service performance.Improve data quality, consistency, and reporting reliability across systems.Automation and systems improvementBuild practical automations using tools such as Microsoft Power Automate, Power Apps, SharePoint, Teams, Outlook, forms, and related Microsoft 365 tools.Automate repetitive tasks such as reminders, approvals, task creation, notifications, data collection, reporting workflows, and follow-up sequences.Help evaluate where AI can safely and practically improve productivity, such as summarization, drafting, categorization, research support, internal knowledge search, and workflow assistance.Support the rollout, documentation, and training of new automations and systems improvements.Core systems supportSupport and help improve usage of key business platforms such as AMS360, InsuredMine, Microsoft 365, Teams, SharePoint, Outlook, DocuSign, phone systems, carrier portals, reporting tools, and other software used by the agency.Serve as a bridge between business users, software vendors, IT providers, and leadership.Help troubleshoot basic user issues and determine when an issue should be escalated to an outside IT provider or software vendor.Maintain clean documentation of systems, users, workflows, permissions, recurring issues, and fixes.Light IT support and coordinationAssist with basic workstation, software, printer, login, Microsoft 365, and user-access issues.Help with onboarding and offboarding users from a systems and access standpoint.Coordinate with external IT vendors for network, security, backup, hardware, and infrastructure-related needs.Support good security hygiene, including access control, MFA, password practices, phishing awareness, and safe handling of sensitive client data.Who We’re Looking For:2–5 years of experience in a business analyst, systems analyst, data analyst, operations analyst, automation analyst, IT analyst, or similar role.Working knowledge of SQL and the ability to query, validate, and analyze data.Strong Excel skills; Power BI or similar dashboard/reporting experience strongly preferred.Experience with Power Automate or similar workflow automation tools.Comfort with Microsoft 365, Outlook, Teams, SharePoint, OneDrive, and common business software.Ability to translate business needs into clear requirements, reports, workflows, and practical solutions.Strong problem-solving skills and curiosity about how businesses operate.Ability to communicate well with non-technical users.Comfortable working in a small, growing, fast-moving company where one person can make a visible impact.Detail-oriented, organized, and able to follow through without needing a manual for everything.Preferred experienceExperience in insurance, risk management, or professional services.Experience with AMS360, InsuredMine, or insurance workflow tools.Experience with Power Apps, Power Query, APIs, data connectors, or low-code/no-code platforms.Experience documenting workflows, SOPs, dashboards, or automation requirements.Basic understanding of cybersecurity, user access, data privacy, and secure use of AI tools.Experience supporting a small business or growing entrepreneurial company.A Few Things to Know:This is a 100% in-office role in Davie, FL. We’re a small, in-person team and we genuinely enjoy working that way.The starting salary is $55,000–$65,000 and we mean it as a starting point.
