This role is essential in creating a serene, welcoming environment and ensuring each guest’s experience is seamless from arrival to departure.Purpose (Why the Role Exists)The Spa Receptionist is responsible for curating a calm, elevated guest experience while managing daily spa operations at the front desk. This role ensures that all guest interactions reflect the luxury standards of Farmhouse Inn and support the spa’s commitment to wellness, relaxation, and personalized care.Core Responsibilities (What You Will Do)Guest Experience & ServiceGreet guests with warmth, professionalism, and a genuine sense of hospitalityProvide detailed information about spa services, treatments, and productsAnticipate guest needs and create a personalized, memorable experienceMaintain a tranquil and welcoming spa environment at all timesReservations & CoordinationSchedule, modify, and confirm spa appointments using reservation systemsCoordinate therapist schedules and treatment room availabilityCommunicate guest preferences and special requests to spa team membersManage daily appointment flow to ensure efficiency and guest satisfactionOperations & AdministrationHandle phone, email, and in-person inquiries promptly and professionallyProcess payments, manage billing, and maintain accurate recordsSupport retail sales by recommending spa products aligned with guest needsMaintain cleanliness and organization of the reception and retail areasTeam CollaborationPartner with spa therapists, hotel front desk, and housekeeping teams to ensure seamless serviceUphold Farmhouse Inn service standards and brand valuesParticipate in daily briefings and ongoing training initiativesQualifications (What You Bring)Previous experience in a luxury spa, hotel, or hospitality environment preferredStrong interpersonal and communication skills with a guest-first mindsetExceptional attention to detail and organizational skillsAbility to multitask in a fast-paced, high-touch service environmentProficiency in reservation systems (SpaSoft, Booker, or similar) preferredAvailability to work flexible hours, including weekends and holidaysPreferred AttributesPassion for wellness, spa services, and holistic guest experiencesPolished, professional demeanor with strong emotional intelligenceAbility to remain calm and composed in all guest interactionsSales-minded approach with the ability to recommend treatments and retail productsKnowledge of wine country hospitality and luxury service standards is a plusPhysical RequirementsAbility to stand for extended periodsOccasional lifting of up to 25 lbs.
