Intake Specialist We are seeking a versatile and personable Intake Specialist who will also serve as a receptionist and provide light administrative support for Job Duck. In this role, you will be the first point of contact for prospective and existing clients, helping create a professional and welcoming experience from the very first call or message. Your day to day work will blend client communication, legal intake, calendaring, and document support, making you a key contributor to smooth operations and client satisfaction. This position is ideal for someone who is confident speaking with clients, highly organized, and eager to learn within a legal environment. A detail-oriented and proactive professional will thrive here, especially one who enjoys variety and being trusted with responsibility.• Monthly Compensation Range: 1,245 to 1,350 USDResponsibilities include, but are not limited to:Calendar deadlines and appointments and regularly check upcoming due datesTake and process client paymentsSchedule consultations and manage client appointmentsFollow up with clients regarding document requests and missing informationRun billing tasks and support invoice management through ClioPull exhibits and assist with document preparationManage and monitor emails for timely responses and follow-upsConduct intake conversations with new and prospective clientsSave, organize, and maintain digital client filesSend representation agreements and intake documentationAnswer incoming phone calls and act as the primary receptionistRequirements:1 year experience as a Legal Assistant with a touch of client IntakeHigh attention to detail in both written and administrative workClear, confident, and professional verbal communicationComfortable speaking with clients and internal stakeholdersWillingness to speak up, ask questions, and provide input when neededIntelligent, curious, and eager to work and learnEasily trainable and receptive to feedbackReliable and consistent follow-through on tasks and deadlinesSoftware:Clio for CRM, billing, and file trackingRingCentral for VOIP and call handlingOutlook for email managementGoogle Calendar for scheduling and calendaringOneDrive for document storage and file organizationWork Schedule: Monday-FridayExpected call volumes: 6-15Location: RemoteTime Zone: Pacific Standard Time [PST]Work Shift: 8:30 AM - 5:30 PM [PST][PDT] (United States of America)Languages: English, SpanishReady to dive in?
