This role serves as the central coordination point for the CFO's office and supports the effective functioning of the University's financial operations across Accounting, Bursar, Controller, Budget & Planning, Grants & Contracts, and Financial Student Services. The Executive Administrator manages executive communications, coordinates divisional initiatives, supports financial governance processes, and ensures timely coordination between the CFO's Office and internal and external stakeholders including university leadership, Board of Trustees committees, auditors, government agencies, and financial partners.Essential Job DutiesManage the CFO's calendar, scheduling, and prioritization of meetings, deadlines, and strategic initiatives.Coordinate briefing materials, reports, and presentations for executive leadership, cabinet meetings, and Board of Trustees committees (e.g., Finance, Budget & Audit).Serve as the primary administrative liaison between the CFO's Office and university leadership, faculty, staff, and external partners.Prepare correspondence, memoranda, executive summaries, and official communications on behalf of the CFO.Provide administrative coordination across Business & Fiscal Affairs departments including: Accounting, Bursar, Controller, Budget & Planning, Grants & Contracts and Financial Student Services.Track and monitor divisional priorities, deadlines, and deliverables.Coordinate cross-departmental meetings and ensure follow-up on action items.Assist with preparation and organization of materials related to: o Annual financial audits o Budget planning cycles o Board finance reports o Endowment and investment updates o Compliance documentationMaintain confidential financial records and documentation in accordance with university policies.Manage internal and external communications for the CFO's Office.Respond to inquiries requiring executive-level attention and route matters appropriately. Coordinate communication with auditors, consultants, government agencies, and financial institutions.Support the implementation of strategic initiatives within the Division of Business & Fiscal Affairs.Maintain records, reports, and administrative systems for the CFO's office.Lead and deliver presentations to faculty and staff on behalf of the Office for Business & Fiscal Affairs, providing guidance and updates on financial policies, procedures, administrative processes, and all related initiatives.Assist in preparing presentations, dashboards, and financial reports for leadership meetings.Coordinate logistics for meetings, retreats, and special projects.Monitor and coordinate divisional operational alignment with institutional financial priorities and timely completion of strategic projects.Qualifications (Education, Experience and Specialized Training)Bachelor's degree in Business Administration, Finance, Public Administration, Higher Education Administration, or related field.Minimum 5 years of executive administrative or operations support experience, preferably in higher education, finance, or government environments.Demonstrated experience supporting senior leadership executives.Preferred QualificationsExperience working in university finance or higher education administration.Familiarity with budgeting processes, financial reporting, and audit coordination. Experience supporting Board of Trustees or executive committee operations.Physical DemandsSkills and AttributesExceptional organizational and project coordination skills.Ability to handle highly confidential financial and personnel information with discretion.Strong written and verbal communication skills suitable for executive-level correspondence.Ability to manage multiple priorities in a fast-paced executive environment.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and enterprise financial systems.
