Project Coordinator
Responsibilities and Duties
Prepare owner contract and subcontract documentation for each job.
Assist in miscellaneous office administrative duties, including scanning and filing documents.
Assist with contacting subcontractors and suppliers for information or documentation at the start of each job and throughout the project as needed.
Assist with entering billings, change orders, and budget revisions under the direction of the Assistant Project Manager.
Collect and maintain insurance certificates, W-9s, worker verifications, and other documentation as required at job start up and throughout the project.
Enter commitments based on subcontractor agreements.
Assist with project close-outs.
Review and approve job-related invoices and pay applications based on subcontractor agreements and budgets.
Serve as a backup to the receptionist by welcoming guests, distributing mail, answering phones in a prompt and professional manner, and transferring incoming calls to appropriate parties or voicemail.
NOTE: Data entry is a significant responsibility with this position.
Qualifications and Skills
Experience in the construction industry is desired.
Excellent verbal and written communications skills with the ability to collaborate and communicate effectively with all levels of the organization.
Reliable and dependable with an excellent attendance and punctuality record. Show up for work as agreed upon; 8:00am-5:00pm.
Intermediate level of expertise in Microsoft Word, Excel, Adobe Professional, Outlook, and web-based applications are required. Ability to learn various other programs and applications as necessary and/or required. Sage/Timberline knowledge a plus.
Minimum 3 years of progressive experience in providing administrative support.
Excellent follow-up skills and attention to detail are required.
Strong time management and multitasking skills.
Strong 10-key and data entry skills are a must.
Must be able to work in a fast-paced environment.
