Provides excellent customer service, answers telephones, and is a clerical support to staff. Performs clerical duties such as word processing, entering data for reports, preparing PowerPoint presentations, maintaining departmental files, and other similar duties. Attends departmental meetings, takes minutes and produces minutes in draft and final form. Assists in record keeping and general operations of the office. Assists in research through data collection as assigned.Essential Functions:Schedule home visits through the public office line, info email and online scheduling tool. Follow up with families in a timely manner and coordinate coverage when not in office.(15%)Coordinate scheduling of all nurse assignments and manage schedule and client database. Collects and enters data in spreadsheets and databases for monthly reports. (20%)Assist with in-hospital recruiting as needed. Establish initial contact with families at local birthing hospitals. Successfully engage, recruit, and schedule families for nurse home visits. . (15%)Build relationships with hospital birth center management and staff including attending meetings, providing educational in-services, and troubleshooting recruitment problems. (15%)A Conduct post-visit connection (PVC) phone calls with families, track services, and provide re-referrals when necessary. Handle mailing of appointment cards and PVC surveys. (15%)Works as an active member of the Family Connects team by attending in-service trainings, staff and planning meetings, and other meetings as required. Complies, transcribes, and distributes minutes of meetings. (15%)Education:High School Diploma or GED RequiredWork Experience:1-3 years One year of healthcare or professional clerical experience required.Knowledge, Skills and Abilities:Excellent verbal and written communication skillsExcellent interpersonal human relation skillsPossesses excellent customer service skillsAbility to multi-task and handle a high volume of tasks at one timeAbility to work independently and be self-directedSkilled in organization and setting prioritiesAbility to use scheduling systems and coordinate meetingsAbility to maintain adequate levels of office suppliesAbility to compile, transcribe, distribute meeting minutesProficient in data entry into spreadsheets and databases.
