Assistant Program Director
Job Summary:
The Assistant Program Director will assist the Program Directors in overseeing the daily operations of the day support. Their role includes establishing safety guidelines within the program to address activities related to the health, safety, and welfare of individuals receiving services and employees, contractors, and visitors.
Duties:
Prepares and implements facility program best practices
Establish and complete the monthly and quarterly documentation for the facility
Completes internal incident reporting form, uploads to CHRIS and Human Rights the required reports with classification in the required 24-hour reporting timeframe
Ensure serious incident reporting protocols with specific levels are reported and documented through CHRIS to Human Rights.
Collaborate with the program director to complete Quarterly and Annual data for Risk Management
Ensure Confidentiality and security of individual and personnel records
Ensure effective and quality services
Attends workshops, seminars, webinars, and conferences to stay abreast of quality assurance updates
Support the Program Director in conducting quarterly review meetings with individuals, comprising 2 in-person meetings and 2 virtual meetings.
Conduct and Coordinate Intakes and annuals
Develop and coordinate meetings and training for staff, individuals, and families regarding support and services within the day support program
Review individual information on WAMs & Lauris
Develop and ensure ongoing implementation of the Individual Support Plan
Collaborate with the program director in conducting and reviewing performance evaluations of staff, following policy
Monitor staff performance regularly and provide feedback
Evaluate individuals referred and receiving services
Coordinates and monitors the documentation process
Orientates, trains, and supervises Residential coordinators, DSPs, and all staff within the program
Participate in staff meetings and in-service training as assigned
Ensure Personnel files are updated and in compliance with state regulations & licensure.
Have contact with families, guardians, CSB, and social workers, etc.
Provide input and recommendations (verbal and written) regarding issues of admissions, transfers, and discharges.
Review monthly documentation from direct support professionals and residential coordinators
Review support data and progress notes to modify/revise individual support plans, behavioral supports, treatment plans, etc. as needed.
Seek out opportunities for new referrals & complete initial referrals for intake of potential clients
Maintain a clean, safe, and orderly work environment
Advocates for Individuals
Coordinate Employee Scheduling
Reviews, signs, and date program data collection process
Manage financial responsibilities of individuals’ funds
Manage & approve activity calendars for the individuals
Ensures the Individuals exhibit signs of good personal hygiene
Investigate individual and staff incidents and complete required documentation
Ensures compliance with individuals' rights and ensures their ratio is maintained as established by DBHDS and CARF
Keep Individuals safe from health hazards at all times
Participates in discharge planning
Report all instances of suspected abuse, neglect, or exploitation to the Program Director
Maintain 24-hour on-call availability for crisis and emergencies
Required Education/Certification and Licenses
The Assistant program director must serve as QDDP and must possess at least one year of documented experience working directly with individuals who have a developmental disability
The position requires an Associate’s Degree in the human services field, including sociology, social work, special education, rehabilitation counseling, or psychology. Candidates without an associate’s degree but with some college credits will be considered.
Valid CPR/First Aid – Otherwise, must be obtained within one month of employment
Medication management certificate – Otherwise, it must be obtained within one month of employment
Experience
2 years of experience in the human services field/or personal experience working with individuals with developmental disabilities
Must have great knowledge of DBHDS and Human Rights Licensure Regulations, CARF standards, Program Development and operation, as well as Professional Ethics
At least two years of experience interpreting and implementing federal, state, or local regulations will be preferred.
At least two years of case management work will be preferred.
Knowledge and Skills
Proficiency in Word, Excel, and PowerPoint
Working knowledge of Google Workspace (Docs, sheets, Calendar)
Experience working with adults with disabilities;
Knowledge of intellectual & developmental disabilities and related physical, health, and behavioral concerns.
Possess strong supervision skills; ability to establish and maintain effective working relationships with individuals, community, and staff.
Possess excellent communication and interpersonal skills
Possess Investigative and interviewing skills; ability to analyze findings, identify problems, and formulate solutions;
Knowledge of licensure, human rights, and other regulations and their application.
Ability to analyze and summarize data into written reports.
Ability to maintain effective inter- and intra-agency working relationships
Must enjoy working with all people, and possess a caring and positive attitude.

Position Type/Hours of Work
This is a full-time position, 40 hours per week in the office; the schedule may vary depending on work demands. Overtime may be required from time to time. The employee may be required to accept 24/7 on-call responsibilities due to the dynamics of the position.
Physical Demands
The position involves constant talking, hearing, repetitive motions, sitting, and eye/hand/foot coordination throughout the work shift. Occasional activities include standing, walking, and carrying. Rarely required activities, which are not a regular part of the job, include kneeling, reaching, lifting, and climbing.
The employee may witness traumatic situations including physical assaults by individuals receiving services on other individuals receiving services or staff, psychiatric decompensation, and death of individuals receiving services. In terms of environmental conditions, the position does not typically involve exposure to extreme cold, extreme heat, vibration, wet conditions, or noise. Regarding physical strength, the job generally requires light to medium work, with little to no heavy work involved. May be required to lift or move up to 50 pounds occasionally
