Office Manager / Bookkeeper White’s Lumber & Millwork – Wainscott & Southampton, NY About Us: White’s Lumber & Millwork is a growing, family-run building materials supply company serving the Hamptons’ high-end design and construction community. We specialize in premium windows, doors, and millwork, and we pride ourselves on quality, integrity, and personal service. We’re looking for a dependable, detail-oriented Office Manager / Bookkeeper to join our close-knit team and help keep our operations running smoothly as we grow. Position Overview: This role combines office management and bookkeeping responsibilities. You’ll oversee day-to-day office operations, manage accounts payable/receivable, assist with quoting and invoicing, maintain organized records, and provide general administrative support to our leadership team. We’re seeking someone professional, proactive, loyal and trustworthy—someone who takes pride in keeping the business on track behind the scenes. Responsibilities: Manage general office operations and vendor coordination Process invoices, payments, and bank reconciliations Maintain accurate accounting records (QuickBooks experience preferred) Prepare and track purchase orders, quotes, and client files Support management with reporting, scheduling, and communication Assist with HR tasks such as onboarding, PTO tracking, and policy compliance Maintain a positive, professional environment in both Wainscott and Southampton offices Qualifications: 3+ years bookkeeping and/or office management experience (construction or building supply industry a plus) Strong organizational and communication skills Proficiency with QuickBooks and Microsoft Office / Google Workspace Ability to prioritize, multitask, and maintain confidentiality Reliable, friendly, and eager to contribute to a small, growing team Benefits: Competitive pay, commensurate with experience 401(k) plan Health care reimbursement plan Paid Time Off and Paid Holidays Collaborative, respectful work environment Opportunities for growth as our company expands Location: Primary office in Wainscott, with occasional work in Southampton.
