Payroll Specialist
A top AEC firm in Chicago is seeking a Payroll Specialist to join their team in a high-impact, visible role supporting HR and Payroll operations. This hybrid opportunity is based in the West Loop with parking available on-site and offers a competitive salary of 70-80k. This is a chance to truly own and elevate payroll operations within a growing, fast-moving organization.Responsibilities of the Payroll Specialist:Serve as the primary subject matter expert for payroll processing within ADP Workforce Now, ensuring accurate and timely payroll executionProcess bi-weekly payroll for multi-state employees, including reviewing timesheets, earnings, deductions, and taxesAudit payroll data to ensure accuracy, compliance, and alignment with company policiesManage payroll-related changes such as new hires, terminations, promotions, and benefits deductionsEnsure compliance with federal, state, and local payroll tax regulations and reporting requirementsPartner with HR, Finance, and Accounting to reconcile payroll data and resolve discrepanciesSupport year-end payroll activities including W-2 processing and auditsIdentify opportunities to streamline payroll processes through automation and system enhancementsMaintain strong data integrity, confidentiality, and audit readiness within ADP Workforce NowTroubleshoot payroll issues and respond to employee inquiries in a timely and professional mannerQualifications of the Payroll Specialist:5–10 years of hands-on experience administering and optimizing ADP Workforce Now (required)Deep knowledge of ADP Workforce Now configuration, reporting, and system functionalityStrong understanding of payroll processing, HR operations, and multi-state complianceProven experience leading system improvements and driving operational efficienciesAbility to collaborate cross-functionally and communicate technical concepts clearlyStrong analytical mindset with excellent problem-solving capabilitiesExperience supporting multi-state or multi-entity organizations preferredConstruction or project-based industry experience is a plusADP Workforce Now certification or implementation experience highly preferredP - 3
