TSI/GSSC Administrative Office Coordinator
Position Summary:Under the general direction of the Golden Student Success Center Coordinator (GSSCC), the Administrative Office Coordinator performs a variety of administrative and clerical duties in support of the day-to-day operations of the Tutoring and Supplemental Instruction/Golden Student Success Center, exercising independent judgment and initiative.Duties and Responsibilities:Perform a variety of administrative and clerical duties in support of the day-to-day operation of the unit, including but not limited to typing, filing, verifying information, coordinating the flow of documents, and scheduling events and meetingsCoordinate and prioritize clerical workflows to align with unit goals and operational needsAssist the (GSSCC) in retention activities by supporting outreach, tracking, and engagement efforts for at-risk students identified through Early AlertUse discretion and independent judgment in management of the (GSSCC)'s calendar, including scheduling and coordinating meetings, appointments, and travel as necessaryMonitor and maintain records of student employees/clients and services providedMonitor and respond to emails, providing information on programs, policies, and staff assignmentsAssist at the Hound Hub as neededMaintain accurate records of all checked-out equipment, ensuring proper tracking and timely returnAssist in reserving meeting rooms and setting up equipment when neededAssist with purchasing materials, equipment, and supplies, including the preparation and processing of requisitions, ensuring compliance with university policies and notifications.Assist with referrals to other student servicesCreate signage for events that are reserved through the Golden Student Success CenterAssist with arranging furniture in the facility when neededAssist Greyhound Guides with set-up and take-down eventsTroubleshoot when electronic devices used in meeting areas have problemsOperate a computer to enter data, compile and type reports, prepare letters, and general correspondenceMonitor departmental budget(s) and perform routine record keeping dutiesServe as a liaison with other departments on basic administrative and/or operational mattersGreet and direct visitors, and when appropriate, resolve routine problems and answer inquiries concerning activities and operations of the department(s), accept, screen, and route telephone calls, and maintain a log of inquiries as requiredSubmit work orders and helpdesk tickets for the facility as neededAssist the (GSSCC)in overseeing the functional activities of student employeesAssist in organizing and training student employeesRegular and predictable attendance requiredPerform other job-related duties and projects assigned in support of the University's mission, core values, and goals.Minimum Job Requirements:A high school diploma or equivalent certificate and a minimum of three years' experience directly related to the duties specified are required.Knowledge, Skills, and Abilities:Thorough knowledge of office management policies, methods, and proceduresAbility to independently interpret a wide variety of policies and proceduresAbility to communicate effectively, both orally and in writingAbility to write clear and concise reportsAbility to enter, gather, and complete routine assignments independently with general instructionsAbility to establish and maintain cooperative working relationships with faculty, administrators, and othersAbility to work in an environment of constant interruptions via telephone and walk-in trafficAbility to perform routine and moderate department operational tasks rapidly and accuratelySkill in the use of standard office equipmentAbility to perform basic bookkeeping proceduresAbility to maintain confidentiality of records and informationPhysical Demand and Working Conditions:Work is performed during normal work hours but may require some evening or weekend hours.
