Document Control Specialist

Job Description The Information Management Lead is responsible for designing, implementing, and managing a comprehensive document and data management program. This role serves as the central point of coordination for all information management activities, ensuring that documentation is accurately collected, maintained, and distributed across systems. The position involves interfacing with cross-functional teams, stakeholders, and system owners to ensure that information is properly structured, accessible, and compliant with established standards. The Information Management Lead also oversees document control processes, supports data integrity, and ensures effective information flow throughout the lifecycle of operations and projects. Additionally, this role is responsible for developing and maintaining master tracking tools and reporting mechanisms to monitor progress, completeness, and quality of documentation and deliverables. ResponsibilitiesInformation Management & Document ControlDesign, implement, and manage document and data management systems and processesCollect, organize, and distribute existing documentation to support workflows and verification processesEnsure timely and accurate entry of new and updated documents into appropriate data repositoriesMaintain data accuracy, accessibility, and version control across multiple systemsManage document flow between internal teams, stakeholders, and external partnersEstablish and enforce data structure, quality standards, and governance requirementsOversee document control activities, including registers, distribution matrices, and tracking toolsEnsure proper access control, system maintenance, and issue resolution within document management systems Program Coordination & OversightAct as the primary point of contact for all information management activitiesCoordinate with cross-functional teams to align documentation requirements and deliverablesProvide oversight and support to document control and information management personnelDevelop and maintain templates, tools, procedures, and user guides to support information workflowsEnsure compliance with information management standards, processes, and best practicesMonitor contractor and stakeholder compliance with documentation requirementsTraining & SupportDevelop and deliver training on information management systems, tools, and processesProvide guidance and support to stakeholders on documentation requirements and workflowsFacilitate workshops and training sessions to ensure alignment and understandingData & Deliverables ManagementManage collection, validation, and submission of final documentation and data deliverablesEnsure completeness, accuracy, and quality of deliverables prior to system entryCoordinate documentation handover processes to operational teamsTracking, Reporting & Continuous ImprovementDevelop and maintain master tracking tools for facilities, deliverables, and program statusGenerate reports on progress, completion rates, and key performance indicatorsIdentify gaps, risks, and improvement opportunities within information management processesConduct internal and external audits to ensure compliance and data integritySupport continuous improvement initiatives related to documentation and data workflowsSkills and QualificationsBachelor's degree in a technical, engineering, or related field (preferred)Proven experience in information management, document control, or data managementStrong understanding of document management systems and data repositories (e.g., enterprise content management systems, ERP tools)Experience supporting operations, technical teams, or project environmentsKnowledge of documentation requirements for operational readiness and lifecycle managementStrong organizational and data management skills with high attention to detailAbility to manage large volumes of information across multiple systems and stakeholdersExcellent communication and interpersonal skills, with the ability to influence without direct authorityExperience developing processes, templates, and governance frameworksStrong analytical and problem-solving skillsExperience delivering training and facilitating workshopsAbility to manage competing priorities and work effectively in a fast-paced environmentProficiency in Microsoft Office applications (Excel, Word, PowerPoint) and data tracking tools Job Details Pay: $50/per hour Location: Spring, TX Schedule: Monday-Friday This is a 3-4 month contract #LI-SU1
