This position is based in our East Syracuse, NY office.Position SummaryWe are seeking a detail-oriented and organized Project Support Coordinator to assist our commercial construction team with project documentation, contract organization, and jobsite compliance records. This role is critical in helping maintain efficient office and field operations while supporting estimating, project management, and administrative functions.The ideal candidate is highly organized, comfortable working with construction documents, able to manage multiple priorities, and proficient with digital filing and construction management platforms.Key ResponsibilitiesBid & Estimating SupportOrganize and distribute bid documents, drawings, specifications, and addendaAssist with material takeoff support and procurement trackingMaintain subcontractor and vendor/supplier contact databasesAssist with obtaining and tracking vendor material pricingResearch and compile material pricing information for estimating purposesScan, upload, and electronically distribute bid-related documentsMaintain organized digital and physical bid filesTrack bid deadlines and document submissionsProject Documentation & Administrative SupportOrganize and maintain project contract documents and correspondence—both hard copy & digital.Maintain accurate project records and filing systemsPrepare and distribute project-related reports and documentationCoordinate document flow between office staff, field personnel, subcontractors, and vendorsAssist Project Managers with project startup and closeout documentationSet up and organize project files, logs, and tracking systems upon project awardAssist with preparation and tracking of material submittals, RFIs, ASIs and change ordersTrack outstanding approvals, pending submittals and project deadlinesAssist with the preparation and organization of all T&M (Time & Material) work tickets and supporting documentation.Maintain accurate records of project/field directives, sketches, revised details and correspondenceCoordinate distribution of updated drawings, addenda, bulletins and field revisions to Foreman and field staff.Assist in preparing closeout documentation to include: attic stock, warranties, O&M manuals and final project paperwork.Safety & Compliance DocumentationCatalogue and maintain jobsite safety documentation including:Safety meeting recordsOSHA certifications/cardsSafety talk documentation & acknowledgmentsIncident and compliance recordsEnsure required project documentation is properly filed and accessibleQualificationsPrevious experience in construction administration, project coordination, estimating support, or office administration requiredStrong organizational and multitasking skillsProficiency in Microsoft Office (Word, Excel, Outlook)Ability to work with PDF software, scanners, and digital filing systems such as Blue Beam or Adobe Acrobat.Familiarity with construction management platforms such as Building Connected, ProCore, Onscreen Takeoff or similar.Strong written and verbal communication skillsAbility to manage confidential information professionallyExperience working with commercial construction documents is a plusPreferred SkillsFamiliarity with construction terminology and processesExperience working with bid documents, drawings, and specificationsKnowledge of OSHA and construction safety documentationExperience with construction management software is a plusWork EnvironmentOffice-based position with occasional visits to jobsites as neededFast-paced construction environment requiring attention to detail and adaptabilityAbility to handle multiple tasks simultaneouslyExcellent written and verbal communication skillsCompensation & BenefitsCompetitive pay & benefits based on experienceOpportunities for advancement and professional growth within the Estimating/Project Management team.Interested candidates should send resume and salary requirements to msherman@shermanconstructioninc.comSherman Construction Inc. is an Equal Opportunity Employer.
