Finance Assistant

JOB SUMMARY:The Finance Assistant provides administrative support to the Finance Department and Chief Financial Officer and assists with the day-to-day tasks of the Finance Department. This may include, but is not limited to composing, editing, and proofreading documents and correspondence for accuracy, relaying and/or resolving routine inquiries or escalating to the appropriate party and processing various forms. The Finance Assistant also performs data entry, schedules meetings as well as establishes and maintains various records. This role requires an understanding of simple mathematical calculations.. ESSENTIAL FUNCTIONS:Maintains and distributes a variety of financial reports and documents, on a weekly/monthly/quarterly/annual and ad hoc basis. Prepares and distributes the weekly New Clients/Matters report Produces the monthly Time Summary report for the Firm Financials package (and other distributions as cited below). Maintains and distributes monthly hours reports. Combines and distributes monthly Financials packages to Equity Shareholders. Produces, combines, and distributes 2-report packages to NES/Counsel. Assembles and distributes annual PPP reporting packages to Equity Shareholders, NES/Counsel, and the Executive Committee. Produces, combines, and distributes 2-report packages to NES/Counsel. Assembles and distributes annual PPP reporting packages to Equity Shareholders, NES/Counsel, and the Executive Committee. Processes, assembles and distributes Shareholder Check-In materials. Maintains Finance records and files for the Chief Financial Officer and department as needed. Coordinates departmental meetings and maintains a meeting schedule. Prepares and distributes firm-wide communications from the Finance Department. Maintain PTFM client schedule lists and quarterly updates. Maintains employee records in Aderant. Works with the Collections and Accounts Receivable Manager in closing clients. Prepares/files month end documentation pertaining to the shareholders. Prepares a wide variety of memos/letters which may be confidential in nature. Sorts, screens, and distributes incoming and outgoing mail appropriately. Drafts or prepares responses to routine inquiries. Prepares, maintains, processes, and updates files, records, tax certificates, vendor requests and/or other documents, including Firm published hourly rates report. Acts as a liaison between Finance and other firm departments. Assists in a variety of functions necessary to maintain smooth departmental operation. QUALIFICATIONS:Bachelor's degree and minimum of two years of work experience in the field of administrative support, or equivalent combination of education and work experience. Highly proficient in MS Outlook, Word, Adobe Acrobat and Excel as well as basic computer and database management skills. Exceptional oral and written communication skills and the ability to effectively communicate work flow and project updates. Strong time management, prioritization, problem-solving, and organizational skills, and the ability to work effectively in a fast paced environment. Strong interpersonal skills and ability to work effectively with different levels of constituencies. Flexibility and capacity to respond calmly, efficiently, and effectively in stressful situations. Punctual and reliable and able to meet set deadlines and work effectively under pressure. Ability to maintain confidential information and other firm business information. Work EnvironmentThe office work environment of the firm is characteristic of the environment the job holder will encounter. In this typical office setting, an employee will encounter standard office equipment and any noise associated with that equipment. The noise level is usually quiet to moderate. The office setting of Wolf Greenfield requires the ability to manage multiple work priorities along with frequent interruptions.
