Administrative Associate III
Administrative Associate IIIWorks under general supervision and provides complex administrative support work for the College of Juvenile Justice. Responsibilities include maintaining the dean's schedule, arranging the dean's travel, maintaining a college calendar of tasks, events, and meetings, offering excellent customer service, problem-solving, and creativity, representing the dean as required, serving as the college's leave administrator, serving as a backup to the college's budget specialist for some duties, entering accounts payable/receivables to pay vendors in FAMIS, conducting college equipment inventories, managing departmental inventory/keys/supplies, college vehicle reporting, maintenance schedule, and utilization, doing purchases and required related reconciliations for the dean's office, drafting college contracts and agreements on behalf of the dean and monitoring these executions and expiration dates for timely extensions as necessary, organizing and hosting college events, retreats, and meetings on behalf of the college and dean's office, preparing agendas and producing meeting minutes, assisting dean with alumni relations, tracking, and reporting, supervising college student ambassadors, custodian of required college documents and records (e.g. hiring), oversight of faculty and staff timely completion of required training, assistant building manager responsible for incident reports, following up on the progress of repairs, and maintaining the schedule of building space use requests. Lead administrative assistant amongst the college's administrative assistants responsible for their ongoing training and support; build relations with key staff and personnel across campus (e.g. Budget/Payroll, Human Resources, Academic Affairs, other administrative assistants) toward the timely completion of tasks and performance of job duties. Performs other duties as assigned.
Required Education & Experience: High school diploma or equivalent. Three years of related experience.
Required Knowledge, Skills & Abilities: Knowledge of word processing, spreadsheet, and database applications. Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.
