Executive & Estate Manager (Private Household)Washington, DC | Hybrid (In-Home 2–3 Days/Week)Role OverviewA private UHNW household is seeking a highly capable Estate Manager / Executive & Household Operator to oversee the daily functioning, systems, and overall operational excellence of a multi-residence private estate environment.This role is primarily focused on household and estate management, ensuring the home operates seamlessly, remains continuously guest-ready, and is supported by structured systems, trusted vendors, and well-managed household staff.While the role includes some personal coordination support for the principal and family, this is not a traditional executive assistant or calendar management role.The right candidate operates like the “COO of the home”; proactive, detail-oriented, highly discreet, and comfortable owning full operational responsibility within a UHNW private environment.Key ResponsibilitiesEstate & Household Operations (Core Focus)Oversee daily operations of a high-end private residence to ensure a consistently organized, functional, and guest-ready environmentBuild, maintain, and improve household systems, SOPs, and organizational structure across the estateConduct regular walkthroughs to proactively identify maintenance needs and ensure standards are upheldManage full lifecycle of household maintenance including HVAC, appliances, landscaping, repairs, and preventative upkeepOversee scheduling, coordination, and quality control of all vendors, contractors, and service providersMaintain structured documentation for household operations (manuals, warranties, vendor records, inventories, etc.)Ensure seasonal household transitions are executed seamlessly (maintenance, décor, weather readiness, etc.)Vendor & Staff ManagementManage relationships with all household vendors and service providers, ensuring accountability and quality executionCoordinate onboarding, scheduling, and oversight of household staff as neededMonitor performance standards and ensure alignment with household expectationsNegotiate services and ensure cost efficiency without compromising qualityInventory, Supplies & Household ReadinessMaintain full oversight of household inventory, supplies, and consumablesProactively stock and source household items aligned with family preferencesOversee grocery coordination, pantry management, and household provisioningEnsure home is consistently prepared for guests, gatherings, and principal presenceScheduling & Personal Coordination Coordinate household-related scheduling including maintenance, appointments, and vendor accessSupport light personal coordination including errands, deliveries, and logistical requestsAssist with travel preparation logistics (home readiness, packing coordination support, etc.)Maintain awareness of household calendar flow and upcoming needsEvents & Household HostingSupport planning and execution of small private gatherings, dinners, and seasonal eventsCoordinate catering, vendors, décor, and setup/breakdown as neededEnsure high-standard guest experience and seamless executionConfidentiality & DiscretionOperate with the highest level of discretion and professionalism at all timesManage sensitive household and personal information with absolute confidentialityAct as a trusted representative of the household environmentQualificationsMinimum 3+ years of experience in UHNW household management, estate management, or equivalent high-level private service environmentDemonstrated experience managing multi-property or complex household operationsStrong vendor management and contractor oversight experienceProven ability to implement systems, structure, and operational organization in a private residenceHigh emotional intelligence, discretion, and professional maturityStrong problem-solving skills with a proactive, anticipatory mindsetComfortable working in dynamic, fast-moving private household environmentsExperience supporting principals, families, or private estates preferred over corporate EA backgroundsWork Style & ScheduleHybrid role based in Washington, DC In-person presence required approximately 2–3 days per week, depending on household activityStandard working hours approximately 9:00 AM – 5:00 PM, with flexibility for occasional after-hours needsAbility to respond to time-sensitive household needs as required
