Project Coordinator
A Project Coordinator is an administrative professional who assists project managers and supervisors with organizing and controlling project activities by providing updates on risks, opportunities and current state of the project. Project Coordinators provide support with the goal of the project finishing on time and within budget. Project Coordinators’ roles are crucial to ensuring projects run smoothly by controlling office workflow, ensuring timely payment to vendors, evaluating the course of the project and reporting its status to the management and stakeholders.
Project Coordinator duties and responsibilities
The Project Coordinator will work closely with project managers to create comprehensive action plans concerning resources, budgets and timeframes for projects. Duties include:
Participate in project kick off meetings by collecting key data requirements and providing post meeting summaries for key team members
Evaluate potential problems and technical hitches and develop solutions
Plan and manage team goals, ability to multi-task and keep priorities in line
Assist with current projects and the coordination of all team members to keep office workflow on track
Continued support for completed projects including any claims or disputes & full payment
Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored, including but not limited to Job Contract, all T&M billings when applicable, and all change orders
Enter all project specific AP invoices into accounting system for review and timely payment to vendors
Coordinate approval of all invoices to be entered into job cost and released for payment
Execute subcontracts to vendors
Follow through on payment terms and communicate with clients to identify and define project requirements, scope, and objectives
Adhere to budget by monitoring expenses and implementing cost-saving measures
Provide flexibility, willingness, and ability to readily respond to changing circumstances and expectations

Proficient in MS Office suite, data management, and reporting
Ability to develop trust relationships with external vendors
Experience & Education
1-3 years of experience in construction industry – site preparation preferred.
Experience using Vista by Viewpoint or other construction related accounting software a plus
Experience using HCSS Software – Heavy Job and/or Heavy Bid a plus
Work hours for this position are Monday - Friday 7:30 am - 4:00 pm.
