Job Description: Insurance Assistant (Processing Specialist)Location: Kailua-Kona, Hawaii 96740Reports to: Executive Vice President or Agency LeaderDepartment: AdministrationFLSA Status: Non-ExemptJob PurposeThe Insurance Assistant contributes to the success of the company by providing administrative support to ensure efficient operations in the office. This role handles organizational and clerical tasks, supports executives with scheduling, manages information confidentially, and ensures smooth office workflows. The goal of this position is to turn intoKey ResponsibilitiesRespond to Lenders requests for additional coverage informationSubmitting to carriers endorsement requests such as adding a location or insuredGenerate invoices for premiumsObtain loss runs from carriersProcess binders, policies, endorsements, audits renewal quotes, etc.Invoice AP or RP when necessaryDeliver documentation to client (policies, endorsements, auto ID cards, audits)Send payment reminders and follow-ups to clientsObtain payment and policy status from carriersSort and scan mail to be sent outProvide backup to other Processor staffInput direct bill company mailProcess all PFS noticesProcess Evidence of Insurance or Certificate of InsuranceUpdate Applied Epic with all current policy/client informationProcess returned mailQualificationsEducation & Experience- High school diploma or equivalent required; associate or bachelor's degree preferred.- Prior customer service experience is preferred.Knowledge, Skills & AbilitiesProficiency in Windows and Microsoft Office Suite.Ability to effectively use general office equipment.Excellent verbal and written communication skills.Strong presentation skills.Excellent problem-solving and time management skills.Ability to be a cooperative team player, highly motivated, and maintain a positive attitude.Ability to read, analyze, and interpret common business and legal documents.Demonstrated ability to make sound judgments and decisions with professional etiquette.Self-driven with the ability to recognize process improvements and take initiative.Working ConditionsWork is primarily office-based with extended periods of computer use.May require occasional overtime during peak periods or special projects.Must be able to pull or lift up to 15 pounds at times.
