Accounts Payable / Accounts Receivable Specialist - Miami, FL
Position OverviewWe are seeking a detail-oriented and organized Accounts Payable / Accounts Receivable Specialist with experience working for a general contractor or construction company . The ideal candidate understands construction accounting terminology, job cost processes, subcontractor/vendor management, and is comfortable working in a fast-paced environment.This role requires someone who is a self-starter , highly organized, dependable, and able to manage multiple priorities while maintaining accuracy and professionalism.Key ResponsibilitiesAccounts PayableProcess vendor invoices, subcontractor payments, and purchase ordersVerify invoices against contracts, job cost codes, and approvalsManage lien waivers, W-9s, and subcontractor documentationPrepare and process weekly check runs and ACH paymentsMaintain organized AP files and recordsMaintain Notice to Owner logsAccounts ReceivablePrepare and submit customer invoices and progress billingsTrack receivables and follow up on outstanding paymentsApply payments and reconcile customer accountsAssist with collections and account resolutionWork closely with project managers regarding billing status and job costingConstruction Accounting & Administrative SupportMaintain accurate financial records in QuickBooksUtilize Procore for project documentation, invoicing support, QuickBooks interfaceAssist with job costing, budgeting, and project financial trackingCommunicate professionally with vendors, clients, subcontractors, and internal teamsQualificationsMinimum 2+ years of AP/AR experience, preferably in:General contracting o Construction o Commercial or residential building industryStrong understanding of construction terminology and processesExperience with:QuickBooks o Microsoft Excel o Job costing and construction billingHighly organized with strong attention to detailAbility to multitask and prioritize effectivelySelf-motivated and able to work independentlyStrong communication and problem-solving skillsReliable, professional, and team-orientedPreferred QualificationsExperience with AIA billingKnowledge of permits, purchase orders, and subcontractor complianceFamiliarity with project-based accountingBilingual (English/Spanish) is a plus
