Job Title: Transition CoordinatorJob DescriptionThe Transition Coordinator supports the transition of new and expanded Integrated Facility Management accounts with a strong focus on supplier onboarding and procurement deliverables. This contract role combines administrative, analytical, and relationship management responsibilities to ensure suppliers are set up accurately, compliant with requirements, and fully supported throughout the transition period. The position offers a hybrid work arrangement based in Charlotte, NC, with a mix of in-office and remote work and is well suited to candidates with customer service experience and strong Excel skills who enjoy working with data, vendors, and cross-functional teams.ResponsibilitiesSupport client and internal teams with supplier onboarding processes by providing accurate data entry and data management through sourcing and procurement technology platforms.Assist in creating complete vendor information packets and supporting attachments to facilitate smooth onboarding and communication.Manage large data sets by creating dashboards and generating reports using advanced Excel functions, including VLOOKUP, pivot tables, and duplicate check functions.Ensure all required due diligence for supplier onboarding is completed, including administration within systems such as Corrigo.Administer and maintain supplier files to ensure ongoing compliance with internal and client requirements.Complete bulk upload templates using various data sets compiled during the transition process to support timely and accurate system updates.Research missing vendor contact information using internal databases and external online resources to ensure records are complete and up to date.Manage phone and email correspondence between internal teams and supply partners, escalating issues to Transition Team Leads when necessary.Make and receive regular follow-up calls with assigned vendors during the transition period to guide them through the registration process and troubleshoot technology issues.Collaborate with internal and external stakeholders to coordinate activities, share information, and resolve issues related to supplier onboarding and procurement.Establish effective solutions for stakeholders through independent problem-solving and proactive issue resolution.Ensure adherence to sourcing and contracting policies and procedures throughout the transition process.Track all correspondence and authorizations by maintaining detailed and accurate files for audit and compliance purposes.Support communication and resolution of compliance components related to vendor Certificates of Insurance and Rate Cards.Prioritize and manage multiple projects with varying timelines, meeting time-sensitive deadlines and escalating daily to Transition Team Leads as needed.Adapt to evolving technologies, tools, and systems used in sourcing, procurement, and facility management to maintain effective performance in the role.Essential Skills0–2 years of experience in an administrative or operational support role.Customer service experience with a basic understanding of customer service principles.Strong oral and written communication skills with the ability to interact professionally with vendors and internal stakeholders.Strong organizational skills and attention to detail, especially when handling large data sets and multiple projects.Proficiency in Microsoft Office, particularly Excel and Outlook.Advanced Excel skills, including VLOOKUP, pivot tables, and duplicate check functions.Ability to manage multiple projects and tasks simultaneously while meeting time-sensitive deadlines.Effective prioritization skills and strong multitasking capabilities.Ability to work independently, learn the role on the job with minimal formal training, and escalate issues appropriately.Strong analytical ability and comfort working with data, reports, and dashboards.Excellent written and verbal communication skills for managing email and phone correspondence.Additional Skills & QualificationsExperience or knowledge related to property maintenance or facilities environments.Working knowledge of sourcing and procurement technologies such as Aravo, Jaggaer, Corrigo, E1, Avetta, and ISN.Experience with data analysis and dashboard creation to support reporting and decision-making.Change management mindset with the ability to identify, communicate, and drive process efficiencies.Ability to adapt quickly to new technologies, tools, and systems used in procurement and facility management.A Levels or equivalent education, including French at A Level or similar qualification.Work EnvironmentThis is a contract position based in Charlotte, NC, with a hybrid work arrangement. The role requires working in the office Tuesday through Thursday, with the option to work remotely on Monday and Friday. The standard shift is 8:00 a.m. to 5:00 p.m. EST, Monday through Friday, with flexibility to start at 6:30 a.m. or 7:00 a.m. The position operates in a professional office environment and involves extensive use of Microsoft Office, particularly Excel and Outlook, as well as sourcing and procurement technology platforms such as Aravo, Jaggaer, Corrigo, E1, Avetta, and ISN. The work focuses on managing data, coordinating with vendors and internal teams, and meeting deadlines in a time-sensitive transition context. There is no free parking on site; city parking options such as street and garage parking are available. Interviews are conducted in a single virtual round.
