Recruitment Coordinator
About the RoleThe Recruiting Coordinator performs administrative and operational tasks to support the effective and efficient delivery of staffing services. This role focuses on coordinating processes, maintaining accurate data, and supporting contractor onboarding, timekeeping, compliance tracking, and lifecycle transactions in partnership with Recruiting, HR, Accounting, Project Managers, and external payroll providers. The position plays a key role in ensuring data accuracy, process consistency, and a positive experience for contractors, customers, and internal stakeholders.ResponsibilitiesCoordinate contractor onboarding processes, including distribution and collection of required paperwork and ensuring completion of onboarding steps in partnership with recruiters, hiring managers, PMO, and payroll provider (IES)Support high-volume contractor lifecycle operations across multiple customers and programs, including new hires, placements, transfers, rehires, and terminations based on approved requestsTrack and monitor weekly timesheet submissions and approvals; follow up on missing or inaccurate entries to support timely payroll processingSubmit, update, and maintain accurate data and assignments across systems, including Bullhorn (ATS), NetSuite, Paylocity, HSI Safety Training, and other workforce management toolsMaintain accurate contractor records and ensure data integrity and status updates across systemsCollect, organize, and submit required documentation for background checks, certification verification, account creation, and customer-specific requirements as directedTrack contractor compliance requirements (e.g., onboarding documentation, CJIS documentation, background clearances, customer-required forms) and provide status updates to internal stakeholders; follow up to support timely completion for projected contractor start datesSupport contractor inquiries related to onboarding, assignment status, and timekeeping, escalating issues as appropriateGenerate and provide routine reports and data to support Recruiting, Management, Accounting, and operational needsAssist Accounting and payroll provider with timekeeping-related reporting, auditing, and documentation as neededSupport coordination and documentation of operational processes and workflows to promote consistency and efficiencyAssist with communication, guidance, and follow-up with hiring managers and internal teams on system usage (e.g., NetSuite timekeeping deadlines and processes) to ensure consistency and timely completionAssist with the development of training materials, job aids, and documentation to support system and process adoptionCollaborate with HR, IT, and leadership to provide insights into operational needs, supporting system enhancements and process improvementsHandle sensitive and confidential information with professionalism and discretionEffectively prioritize and manage multiple tasks in a fast-paced environmentPerform other administrative and operational duties as assignedQualificationsHigh school diploma or equivalent requiredTwo (2) years of administrative, coordination, or operations support experience preferredExperience working with ATS, HRIS, or timekeeping systems preferredRequired SkillsExcellent verbal and written communication skillsStrong interpersonal skills with the ability to handle sensitive and confidential information with professionalism and discretionExcellent organizational skills and attention to detailProficient with Microsoft Office Suite or related softwareProficient with, or ability to quickly learn, applicant tracking systems (ATS), timekeeping systems, NetSuite, HRIS platforms, and other workforce management toolsAbility to accurately enter, maintain, and manage data across multiple systemsAbility to prioritize and manage multiple tasks in a fast-paced environmentGTS Technology Solutions, Inc. is an Equal Opportunity Employer.
