This role provides leadership to the onboarding team, drives process improvement initiatives, and ensures adherence to organizational standards, regulatory requirements, and service expectations.In close partnership with Talent Acquisition, Human Resources, hiring leaders, and cross-functional teams, the Onboarding Operations Manager ensures timely pre-employment processing, clear communication, operations, ensuring timely processing and readiness for all new hire start datesDevelop, implement, and maintain standardized workflows, procedures, and service level expectationsMonitor onboarding metrics, productivity, and service delivery to drive operational effectivenessIdentify process gaps and implement continuous improvement strategies to enhance efficiency and candidate experienceCollaborate with HR, Talent Acquisition, Employee Health, Payroll, and department leaders to coordinate onboarding activitiesTeam Leadership & DevelopmentLead, coach, and develop onboarding team members to support performance, engagement, and growthEstablish clear performance expectations, service level agreements, and productivity benchmarksOversee workflow distribution and capacity planning to ensure appropriate coverageFoster a culture of accountability, service excellence, and continuous improvementCompliance & AuditingConduct regular audits to ensure onboarding documentation meets regulatory, accreditation, and organizational standardsEnsure accuracy and completeness of employee records, licensure, certifications, and pre-employment requirementsMaintain compliance with internal policies and state and federal regulationsImplement corrective actions and training based on audit findingsStakeholder CollaborationServe as a primary liaison between onboarding, leadership, and operational departmentsProvide guidance to hiring managers on onboarding requirements, timelines, and best practicesSupport organizational initiatives, system implementations, and process changes impacting onboardingReporting & Strategic SupportTrack and analyze key performance metrics (e.g., time-to-start, onboarding cycle time, candidate satisfaction, error rates)Prepare operational reports and provide recommendations for strategic improvementSupport workforce planning by identifying onboarding capacity needs and operational risksCandidate ExperienceChampion a positive, organized, and supportive onboarding experienceEnsure proactive, clear communication throughout the onboarding journeyAddress escalations and resolve complex onboarding issues to ensure timely startsMonitor candidate engagement and satisfaction, identifying opportunities to enhance the experience and reduce onboarding frictionPartner with Talent Acquisition and HR leadership to align onboarding practices with organizational values and employer brandDrive consistency to ensure a professional and welcoming experience for every new team memberNew Team Member Orientation & IntegrationOversee the execution of new team member orientation to ensure an engaging and informative experienceEnsure new hires are equipped with the tools, knowledge, and resources for a successful startCollaborate with HR and operational leaders to align orientation content with organizational priorities and compliance requirementsContinuously evaluate and improve orientation effectiveness based on feedback and performance metricsEnsure consistency in orientation delivery across locations and departmentsExperience RequirementsMinimum of 3 years of progressive experience in onboarding, HR operations, talent acquisition operations, or a related functionMinimum of 2 years of leadership or supervisory experienceExperience managing high-volume, process-driven operations with multiple stakeholdersStrong knowledge of onboarding processes, employment documentation, and regulatory complianceProven ability to lead teams, manage performance, and drive accountabilityStrong process improvement and operational efficiency mindsetAbility to analyze data and use insights to drive decision-makingExcellent organizational and time management skills in a fast-paced environmentStrong interpersonal and communication skillsAbility to manage escalations and resolve complex issues effectivelyHigh attention to detail with a strong focus on accuracy and complianceExperience in a healthcare or highly regulated environmentExperience supporting enterprise or multi-site organizationsExperience designing or improving onboarding or employee transition programsExperience with applicant tracking systems or
